Job description

T2 Utility Engineers is seeking a detail-oriented and proactive Project Coordinator to support Project Managers and project operations within our New York and New Jersey offices. This role is responsible for supporting the accurate setup, financial tracking, billing, reporting, and administration of projects throughout the project lifecycle.

The Project Coordinator works closely with Project Managers, Accounting, Operations, and other internal teams to help ensure project information is accurate, required documentation is complete, invoices and reports are submitted in accordance with established requirements, and deadlines are consistently met. The ideal candidate is highly organized, resourceful, and comfortable managing multiple priorities in a fast-paced, deadline-driven environment.

The successful candidate will demonstrate exceptional attention to detail, strong follow-through, and a working understanding of project financials, billing, and reporting. Responsibilities

Include, but Are Not Limited To Support the Project Manager with all aspects of data entry including project billing, invoice preparation, review, submission, financial adjustments, and invoice requirements. Assist with the accurate setup and ongoing maintenance of projects in the company’s financial system. Maintain organized and current electronic project files and financial documentation in accordance with company standards.

Maintain financial and billing spreadsheets in Excel to reflect current invoices, payment activity and daily narratives. Correspond professionally with clients and internal team members. Handles confidential company, employee and client information and avoids unauthorized disclosure. Provide Project Controls, accounting, and administrative support for branch and satellite office operations.

Other accounting or administrative duties as needed Qualifications High school diploma 3 - 4 years of experience in project coordination, project controls, accounting support, billing, or a related administrative environment. Experience preparing or reviewing invoices, financial documentation, reports, or project records.

Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Professional manner and customer-service mindset. Ability to work effectively both independently and as part of a professional team. Ability to manage multiple assignments and recurring deadlines in a fast-paced environment.

Strong follow-through and problem-solving skills. Ability and willingness to learn new systems, programs, and processes. Proficiency in Microsoft Excel, Word, Outlook, and other Microsoft Office applications. Desired Qualifications Experience with BST or a comparable project management and accounting platform is preferred Working knowledge of project accounting principles.

Experience working with employees and management across different functions and levels of an organization. Strong time-management skills and the ability to meet competing deadlines. Self-motivated and confident, with the initiative to research issues and follow them through to resolution. Well-developed interpersonal skills and the ability to build professional, collaborative relationships.
