Position Summary
The Payroll Specialist is responsible for the administration of full cycle payroll for all Intercare employees while adhering to the values of the organization. This fast-paced role demands a high degree of confidentiality, attention to detail, customer service and the ability to meet ongoing deadlines. This role contributes to a culture of safety, teamwork, and high-quality care.

Key Responsibilities
A. Payroll Processing & Employee On-boarding Review new employee information to ensure accurate completion, process security clearances and inputnew staff to payroll system. Ensures all employees are issued a swipe card / name tag at time of hire and addresses employee concernsand questions regarding usage. Maintenance of employee records including address and status changes.
Consult with managers regarding payroll concerns, research and process adjustments as required. Ensure all parity discrepancies are entered in a timely manner. Process Employee Letters of Employment/Portability, Records of Employment and other documentation asrequested and/or required. Process all employee garnishees, notify employee and process calculation of deductions and remittanceson a bi-weekly basis.
B. Payroll Audits & Facility Support Run bi-weekly audit and final payroll audit and research/key any required changes as advised by Facility Leaders. Provide staff in-services on payroll and benefit related matters as necessary and/or requested. Support administrative team on an adhoc basis. C. Reporting, Union Dues & System Maintenance Maintenance of reporting system, reporting to/addressing concerns of Leaders and or managers, union and employee’s, and any required verifications of reporting for: Vacation Seniority Sick Garnishee’s – monthly reporting of deductions and remittances to appropriate authority.
Benefits
– communicate changes in benefit coverage to appropriate billing agency and/or employee. CUPE Local #8 – monthly reporting and processing of CUPE Union Dues. Collect reimbursement from CUPE Local #8 for employees on Union leave. Distributes all T4 slips on an annual basis. Provide seniority reports to union bi-annually.
Ensures yearly vacation reporting is completed for all staff. Responds to all employee requests including records of employment and letters of employment. CI.Personal & Professional Development Maintaining Personal and Professional Development. Demonstrate professionalism in day-to-day routines and interactions. Perform continual self-evaluation re: areas of need for professional development.
Seek out opportunities to enhance current level of knowledge, expertise and awareness. Keep current on issues, practices and current trends related to payroll. Accept responsibility for performance results. Take initiative to share learning experiences and newly acquired knowledge with co-workers.Participate and present in conferences, meetings and on Committees as required.
CII.Health & Safety Understand and adhere to health and safety responsibilities as outlined in the corporate health and safety policy. Performs all duties in a safe and efficient manner and maintains work area in a clean, orderly and safe condition. Report near misses, incidents, hazards, unsafe working conditions, and equipment malfunctions promptly.
Participate in required health and safety training and initiatives to maintain compliance and promote workplace safety. Report work-related injuries within required timeframes and complete applicable forms and WCB documentation. Understand and adhere to fire responsibilities as outlined in the corporate fire manual. CIII.
Other Duties Perform other duties as assigned.
Qualifications
Payroll Compliance Practitioner (PCP) designation, or equivalent Knowledge of the UKG, Kronos and/or Ulti. Pro payroll systems is required A minimum of 2 years of payroll experience in a fast paced environment Experience working in a unionized environment is preferred Good understanding of Alberta Employment Standards legislation Experience with Microsoft Office, and strong with Excel and Outlook Excellent accuracy, time management, problem solving, and organizational skills Strong verbal and written communication skills Ability to prioritize and work independently with little supervision, and effectively as a member of a team Demonstrates a caring, compassionate, and empathetic approach Location: 501, 5920 Mac.
