ESSENTIAL DUTIES
Serves as a guardian of The Ritz-Carlton Gold Standards and is a positive role model, prioritizing the culture, driving appreciation, energizing personal service, enlivening empowerment, cultivating quality, leading with compassion and accountability, inspiring innovation, and celebrating successes. Coordinates all post-offer documentation for assigned candidates: seafarer employment agreements, medical fitness examinations, STCW and function-specific certificates, visas, seafarer books, and police clearances, tracking each item to completion.
Verifies every file against the Training Matrix and Competency and Wellness requirements before releasing the candidate to mobilization, with a target of one hundred percent documentation accuracy at embarkation. Schedules and tracks pre-employment medical examinations with approved providers, managing results confidentially and escalating fitness concerns appropriately.
Works with licensed local recruitment and placement agents and government authorities as directed, ensuring every in-market placement activity complies with local regulation and MLC 2006 Regulation 1.4. Maintains complete and current records in the applicant tracking and HR information systems, and produces documentation status reporting for the Manager and Director.
Supports in-market sourcing activity, including school visits, job fairs, and candidate communication in local languages where applicable. Partners with Mobilization Specialists to hand over documentation-complete candidates for travel and joining arrangements.
QUALIFICATIONS
Bachelor's degree from an accredited university or college, or equivalent experience. Minimum of two (2) years of coordination, documentation, or administrative experience in crewing, manning, recruitment, or maritime operations, preferably supporting seafarers. Working knowledge of seafarer documentation requirements — medical certificates, STCW certificates, visas, and seafarer books — or demonstrated ability to acquire it quickly.
Familiarity with local seafarer recruitment and placement regulation strongly preferred. Exceptional attention to detail and follow-through; the role's output is measured in complete, accurate files. Experience working in a diverse and multi-cultural environment required. Proficient in the use of computers and standard office software; experience with applicant tracking or maritime HR systems preferred.
