The Operations Specialist is part of GSEP’s centralized Operations team, which brings together the systems, processes, and services that support every department.
The Specialist provides proactive and reactive operational support across the council, helping teams deliver excellent customer service, volunteer support, girl experiences, and mission delivery. The position supports a broad range of business and administrative processes, including volunteer compliance, financial assistance, certificates of insurance, purchasing and financial process maintenance, supplies and inventory, event logistics, vendor coordination, customer inquiries, documentation, and data management.
As part of the Operations function, the Specialist assists internal and external customers through Salesforce, email, phone, and in-person interactions. The position works cross-functionally with departments including Finance, Member Services, IT, Community Engagement, Recruitment and Placement, Community Programs, Girl Experience, Property and Facility Rentals, Retail, and Marketing/Communications to provide accurate information, maintain effective processes, and ensure operational needs are met.
Operations Specialists are cross trained across the team’s core functions so that services continue without interruption. Each Specialist may be assigned primary areas of focus based on organizational needs. The team works closely with Member Services, which provides backup coverage for Business Operations.
Key Responsibilities
As an Operations Specialist, you’ll provide responsive, solutions-focused support to GSEP staff, volunteers, members, and community partners while helping keep essential business operations running smoothly. You’ll support volunteer compliance and background checks, certificates of insurance, financial assistance and financial processes, purchasing and inventory, event logistics, customer inquiries, and data management.
Working across departments, you’ll maintain accurate information and documentation, coordinate operational needs, identify opportunities to improve processes and customer service, and help ensure consistent, efficient support across the Council. Qualifications, Knowledge, Skills & Experience: Bachelor’s degree preferred, or equivalent combination of education and related professional experience.
Minimum of 3 years of related experience in operations, compliance, customer service, administrative services, business operations, or a related field; experience in a nonprofit or youth-serving organization preferred. Passion for the Girl Scout mission, with a commitment to serving as a GSEP ambassador, modeling GSEP’s Operational Core Values, and contributing to an inclusive and welcoming environment.
Strong customer service and interpersonal skills, with the ability to build positive relationships and communicate effectively with staff, members, volunteers, vendors, and community partners. Excellent organizational and time-management skills, with demonstrated attention to detail, follow-through, and the ability to manage multiple priorities, meet deadlines, anticipate next steps, and identify potential issues.
Strong problem-solving and decision-making skills, with the ability to exercise sound judgment, take initiative, and independently manage assigned responsibilities with limited day-to-day oversight. Strong written and verbal communication skills, with the ability to clearly explain processes, policies, requirements, and next steps to diverse internal and external audiences.
Ability to remain calm, professional, and empathetic when managing challenging or sensitive customer interactions, working effectively toward resolution. Ability to understand, communicate, and consistently apply organizational policies, procedures, and compliance requirements while appropriately handling confidential and sensitive information.
Knowledge of Pennsylvania child protective clearance requirements and background check compliance standards for youth-serving organizations preferred. Strong technology skills, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint and experience with Salesforce, Zendesk, or similar customer relationship management or database systems.
Experience working with databases, reporting tools, inventory systems, or other information-management systems, with the ability to maintain accurate records, track activity, and support operational reporting. Ability to collaborate effectively and work cross-functionally to support council-wide goals, improve processes, and provide consistent operational support across departments.
Demonstrated cultural sensitivity and ability to effectively support and engage individuals from diverse backgrounds and communities. Valid driver’s license, reliable personal transportation, and current automobile insurance required, with the ability to travel throughout GSEP’s nine-county footprint as needed.
