Job description

Our teams are driven, collaborative, and committed to delivering results and we are currently seeking Legal Assistants/Paralegals to join our team as part of a high‑volume civil recovery effort.
These positions are needed as soon as possible to reinforce our commitment to operational excellence and meet our strict standards of compliance and accuracy.
Key Responsibilities
Reconcile case data, prepare exception reports, identify variances, and proactively resolve issues. Monitor and report on critical litigation milestones across the three operating states, ensuring deadlines are met. Compile and oversee control reports that track the status of concluding cases, instructing legal operations and escalating variances.
Complete client‑specific exception reports related to litigation processes as directed by the executives. Understand how the work for the primary assigned client is queued throughout the legal process in each state, ensure compliance with client work standards, and escalates unresolved matters to firm partners. Prepare, review, and assemble legal documents as directed, and assist in e‑filing or mailing documents executed by the VP.
Communicate with courts, opposing counsel, and enforcement officers to obtain necessary information and documents. Assist in resolving judgments, motions, or other pleadings that have been rejected by the courts. Liaise with the legal operations department regarding issues with media, affidavits, verified pleading procurement, and general pleading preparation or quality.
Enter and post data into the firm’s case‑management system. Ensure all tasks related to litigation are completed accurately and on time. Perform any additional duties as assigned by the Executives. High‑volume civil process responsibilities Be thoroughly knowledgeable of the legal processes in the relevant states and understand how work is queued throughout the legal process.
Oversee compliance with client‑work standards in handling cases. Escalate matters to the appropriate manager if not resolved with the applicable team. Manage large volumes of civil recovery work with a focus on speed, accuracy, and compliance. Analyze workflow, identify bottlenecks, and propose process improvements. Maintain clear, professional communication with clients and stakeholders.
Provide feedback on processes and actively seek best‑practice solutions.
Minimum Qualifications
(Knowledge, Skills, and Abilities) Minimum two years of legal office experience. Completed Paralegal Certificate or Paralegal Studies Degree. Proven experience in high‑volume civil process environments. Knowledge of legal principles and terminology. Ability to work with databases and online technological platforms. Ability to be self‑reliant and initiate communication with management.
Excellent interpersonal, analytical, and detail‑oriented skills. Ability to handle conflicting time demands and focus on task completion with minimal direction. Proficient with MS Office (Word, Outlook, Excel). Intermediate Excel skills: Pivot Tables, data sorting, basic formulas (e.g., days outstanding). Preferred: PowerBI and advanced Excel functions.
Proficient command of the English language in both oral and written format. Ability to maintain confidentiality in a professional manner. Mindset Self‑starting, proactive, and highly comprehending of rule‑based details. Comfortable giving feedback on processes and curious to find best practices.
