About Our Opportunity We are seeking an HR & Front Desk Administrator to work in Blairs, VA. This position provides administrative support to the Human Resources Department, the Sr. Director of Operations, and the Directors of Operations. Manages all aspects of front office administration and reception area inclusive of but not limited to answering and directing incoming calls appropriately, maintaining phone system greetings, greet and direct visitors, and general administrative duties and tasks as assigned.

TASKS AND RESPONSIBILITIES include the following. Other duties may be assigned. Nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this job at any time. Process badges for new hires and replacement badges as needed. Manage adding and removing temp associates in ADP system.

Prepares routine and advanced correspondence including letters, memoranda, presentations, and reports; Maintains bulletin boards and associate communication via PowerPoint. Coordinates monthly associate “Employee of the Month”. Processes weekly expense reports. Maintains calendar for reservations of conference and training room.

Manages company vehicle process, documentation and status. Answers calls on the switchboard and distributes messages. Opens and distributes mail, manages inter-office mail, is responsible for housekeeping and organization of the mail room. Maintains Photo Library; maintains accurate logs. Orders associate office name plates and business cards.

Prints associate parking passes and keeps log updated as needed; manages associate locker assignments. Enters data and manages spreadsheets as assigned; Assists with filing as needed. Coordinates with break-room vendors. Represents Administration on the associate “Employee Action Committee” Maintains PO request process for Virginia locations; Maintains, distributes, and orders office supplies.

Timekeeping & Payroll Support: Train and develop proficiency in the company’s timekeeping and payroll processes to serve as a backup to the HR Assistant. Provide timekeeping and payroll support as needed, including reviewing time records, assisting with corrections, and helping ensure accurate and timely payroll processing.

Must maintain confidentiality as it relates to employee relations. Supports associate orientation, onboarding and interviewing. A commitment to companywide quality and safety is required. Exhibits a professional manner in dealing with others, especially during stressful situations; Acts as gatekeeper for Administration Offices.

Demonstrates excellent customer service to visitors, associates and management. Performs other related duties as required and assigned. KNOWLEDGE AND SKILLS The requirements listed below are representative of the knowledge, skill, and/or ability required. Bilingual, able to speak English and Spanish fluently, strongly preferred.

Ability to communicate with management and coworkers to meet departmental goals. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software. Advanced Microsoft Suite skills. Work requires continual attention to detail in composing, typing, and proofreading materials, establishing priorities, and meeting deadlines.

Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

EDUCATION

AND WORK EXPERIENCE High school diploma, technical school, or GED required. Four-year bachelor’s degree preferred. Four or more years prior experience and/or training. While performing the duties of this job, the employee is frequently required to stand, walk, sit, and use repetitive hand motions. While performing the duties of this job, the employee is occasionally required to reach overhead, climb or balance, stoop, kneel, crouch or crawl, and lift up to 25 pounds. This job is located in an office where the climate is controlled.

Pay We offer competitive pay based on job-related skills, experience, relevant education, training, and geographic location. The starting hourly pay rate is $16.39 Actual pay will be determined based on the candidate’s qualifications, the Company’s compensation guidelines, and business needs.
