Enrollment Specialist - Patient Support Team (FT)
Job description
Enrollment Associate
- Patient Enrollment Team- Full Time Your Calling at Sanctuary: Do you dream of putting your sales skills to work at restoring broken lives burdened by chronic illness? Do you dream of waking up and looking forward to the workday filled with guiding people to hope? Then Sanctuary wants to meet you, get to know you, and welcome you to our team in Franklin where we care for those wearied by the conventional medical system. So many call us looking for answers to their health struggles and we need you to be the calm, reassuring voice that assesses their needs, presents our solutions, and walks them through the enrollment phase of our programs. They need your compassion for their plight to combine with your knowledge of what we can do with functional medicine so that they look forward to taking their first steps with our team of providers.
What You'll Do
Own Your Pipeline: Manage incoming inquiries (phone, email, online forms, word-of-mouth) in our CRM, keeping every lead accurately logged, categorized, and moving through a defined follow-up cadence. Initial Contact: Reach out to potential patients promptly, assess their needs, and provide clear, structured education about how our programs can support their health goals.
Program Enrollment: Match potential patients to the right program, clearly explain benefits and costs, and guide them through enrollment — tracking conversion from inquiry to enrolled patient. Hit Enrollment Targets: Work toward monthly enrollment goals, using CRM data to identify where leads are stalling and adjust your follow-up approach accordingly.
Coordinate Care: Once enrolled, handle the administrative details precisely — scheduling initial appointments, collecting required forms, and confirming every step is complete before handoff. Collaboration: Work closely with clinical staff to ensure a seamless, well-documented transition into ongoing care. Hybrid Work: Enjoy a hybrid work schedule, with a combination of remote and in-office days, along with meetings with the Enrollment Team and other SFM team members, monthly or quarterly in-person meetings with the whole staff.
What We're Looking For
Passion for Wellness: A genuine desire to help others heal and improve their lives through functional medicine. Goal-Driven, Detail-Oriented Track Record: Previous sales or customer service experience with a demonstrated history of hitting targets — you track your own numbers, notice trends before they're pointed out to you, and don't let a lead go cold.
Systems Thinking: Comfortable managing a high volume of leads across multiple stages at once without letting details slip — you build your own follow-up systems rather than waiting to be told what's next. Communication Skills: Strong verbal and written communication, with the ability to explain complex concepts clearly and persuasively.
Tech-Savvy: Comfortable using CRM software (experience with Active Campaign is a plus), email, Microsoft, and other online communication tools. Position Details: Hours: Full-Time, minimum 3 days per week. Work Environment: Hybrid, with a mix of remote and in-office work. Start Date: TBD.
Compensation
& Benefits: Paid Time Off. Health, Dental and Vision Insurance. 401 (k) Retirement Plan. How to Apply: Please send your resume and a cover letter explaining why you are interested in this role to apply@sanctuaryfm.org or apply to this job posting.
