POSITION SUMMARY
The Project Coordinator supports ownership across every active Streamside Parks project by keeping budgets, vendor commitments, permits, and project documentation organized, current, and easy to act on. This is a coordination and tracking role, not a design or engineering role: the Project Coordinator keeps information flowing and deadlines visible so ownership and outside professionals (engineers, surveyors, electricians, architects) can make timely decisions, rather than making design, engineering, or regulatory determinations independently.
ESSENTIAL JOB RESPONSIBILITIES: Budget and Cost Tracking
- Maintain detailed project budget workbooks across multiple properties (division level tabs plus a master summary), keeping line items current as quotes, change orders, and actual costs come in. •Compare vendor and contractor quotes against budgeted line items and flag variances to ownership. •Track payment schedules and deposit or draw requirements against contracts and vendor terms. •Coordinate with the accounting team on capital projects, making sure invoices, draws, and capital expenditures are coded, recorded, and reconciled against each project's budget. Vendor and Contractor Coordination •Solicit, log, and compare quotes from vendors and contractors (signage, site work, utilities, construction trades, and similar scopes). •Track vendor deliverables and installation schedules, and coordinate scheduling between vendors, on site staff, and ownership. •Support decisions about which scopes of work are handled by outside contractors versus in house or property staff, by organizing the cost and scheduling information ownership needs to decide. •Prepare contractor pay applications for ownership's approval, checking billed amounts against contract terms and percentage of work complete. •Collect lien waivers from contractors and subcontractors with each payment cycle and keep them on file. •Track construction schedules for contractors on specific jobs, monitoring progress against milestones and flagging delays to ownership. Acquisition Due Diligence Support
- Assemble and organize due diligence materials for prospective acquisitions: title work, surveys (ALTA and boundary), flood zone and FEMA determinations, utility and electrical system condition, and environmental reports. •Track open due diligence items and deadlines through closing, and flag gaps that need a licensed surveyor, engineer, or attorney. Permitting and Regulatory Tracking
- Track permit applications and approval status across jurisdictions and property types (site development, electrical, water and wastewater, building). •Maintain a working awareness of the codes and regulations that commonly apply to RV resort development, and route code specific questions to the appropriate licensed professional rather than answering them directly. Site Plans and Project Documentation •Maintain current versions of civil site plans, sign packages, and other project drawings, and track what changed between revisions. •Reconcile changes in project scope (for example, a shift in unit count or unit type) against the current site plan and flag discrepancies to ownership and the design consultant. •Maintain accurate site and unit counts (RV sites, cabins, cottages, buildings) drawn from current drawings and spreadsheets, and keep that inventory consistent across budget, narrative, and marketing documents. •Prepare project narratives and status summaries that bring together survey, site plan, budget, and vendor information for ownership review. Cross Property Scheduling and Reporting •Track milestones across all active projects, from due diligence through construction or capital improvement completion. •Surface scheduling conflicts, resourcing needs, and upcoming deadlines to ownership before they become urgent. •Prepare periodic status updates summarizing progress, open items, and near-term priorities across the portfolio. •Keep every active project current in Wrike, the company's project management software, including tasks, owners, due dates, and status, so ownership has a reliable single place to check progress.
Qualifications
Required •Strong organizational skills and comfort managing several concurrent projects and vendors at once. •Strong spreadsheet skills, including multi tab workbooks, formulas, and budget tracking in Excel or a comparable tool. •Clear written communication, including the ability to summarize project status for ownership concisely.
•Ability to read and track changes across site plans, drawings, and vendor quotes, without needing to produce or approve them independently. •Willingness to travel to project sites as needed, and a valid driver's license with a satisfactory driving record. Preferred •Experience with Wrike or a comparable project management platform (Asana, Monday.
com, or similar). •Experience in real estate development, construction project coordination, or hospitality and outdoor hospitality operations (RV resorts, campgrounds, or similar). •Familiarity with due diligence documents common to real estate acquisitions (surveys, title work, flood zone determinations). •Working familiarity with permitting processes and basic regulatory concepts relevant to site development (site permitting, electrical, water and wastewater), understanding that licensed professionals remain responsible for code compliance determinations.
Work Environment and Travel This role works closely and directly with ownership in a small, fast moving team, supporting projects at different stages, from early due diligence to active construction to post opening operations. Reporting and Employment Details Reports to: Director Of CAPEX & Facilities Location: Based in Middle Tennessee (preferred), with occasional regional travel to project sites.
