It is: their first attempt to get help their first moment of vulnerability their first impression of Rebis The Guest Access Concierge is responsible for turning that moment into: trust clarity confidence action This role directly drives: access to care patient experience clinic growth revenue Position Summary The Guest Access Concierge, commonly referred to as patient access specialist in general healthcare/hospital settings, is responsible for welcoming new guests and guiding them into their first appointment at Rebis.
This role combines: hospitality communication emotional intelligence and conversion skill You are not simply scheduling appointments. You are: helping people feel understood removing confusion guiding decisions and helping individuals take the first step toward healing What Success Looks Like A high-performing Guest Access Concierge: connects with people quickly and naturally makes individuals feel comfortable within seconds explains services clearly and confidently guides guests toward the right next step converts inquiries into scheduled appointments consistently responds quickly and does not let opportunities slip takes ownership of every interaction Core Responsibilities Guest Connection & First Impression Welcome every guest with warmth, professionalism, and confidence Create immediate trust and emotional safety Ensure every interaction reflects the Rebis standard Appointment Conversion Convert referrals and inbound inquiries into scheduled appointments Confidently guide guests toward the appropriate visit: Awaken Core Assessment Empower Move conversations toward clear next steps Service Explanation & Guidance Clearly explain the Rebis care model Help guests understand what to expect Reduce confusion and uncertainty Answer questions with clarity and confidence Referral & Intake Management Work incoming referrals quickly and efficiently Create accurate guest charts Coordinate insurance verification processes Initiate and send intake forms Provider & Guest Communication Communicate appointment confirmations to referring providers Send welcome emails and onboarding instructions Ensure guests feel prepared for their visit The Type of Person Who Thrives in This Role This is not a traditional call center job.
The best people in this role typically come from: hospitality (hotels, concierge, airlines) high-end customer service sales with a service mindset healthcare access roles with strong communication skills You will thrive in this role if you: naturally connect with people and build rapport quickly genuinely enjoy helping others are comfortable guiding people toward decisions communicate clearly, confidently, and calmly can balance empathy with efficiency take ownership instead of passing problems along are highly responsive and do not let tasks sit take pride in delivering excellent service You may struggle in this role if you: prefer transactional, task-based work are uncomfortable speaking with people frequently avoid guiding or influencing decisions struggle with urgency or responsiveness prefer working independently without accountability Required Skills & Experience 1–3+ years of customer service, hospitality, or healthcare experience Strong verbal communication skills Ability to multitask and stay organized in a fast-paced environment High attention to detail Comfort using scheduling systems and digital tools Preferred: experience in healthcare access or scheduling experience in hospitality or concierge roles experience in sales or conversion-based roles Behavioral Expectations All Guest Access Concierges are expected to: create a welcoming and reassuring experience communicate clearly and professionally take ownership of each interaction follow through on commitments maintain a high level of responsiveness contribute to a team-oriented environment Department: Concierge Team Reports To: Concierge Team Manager / Supervisor Location: Rebis Headquarters: Longmont Compensation: $20-23 per hour plus monthly bonus program Benefits 401(k) Medical Insurance Dental Insurance Vision Insurance Unlimited PTO plus Paid Federal Holidays Complimentary Rebis Health Care Access to support your personal health Parental Leave
