As our first Clinical Coordinator, you will play a key role in shaping the patient experience at our boutique Eye. Hub Clinic. Acting as a central point of contact for patients, you will coordinate their journey from initial enquiry through to post-operative follow-up, ensuring every interaction is seamless, professional and personalised.
Working closely with healthcare professionals and the wider clinic team, you will help establish and maintain efficient processes that support the smooth day-to-day operation of the clinic, while creating a warm, welcoming and premium experience for every patient.
Key Responsibilities
Deliver exceptional patient care
- Be the welcoming face of the clinic, providing professional, friendly and efficient service to patients and referrers. Coordinate appointments & referrals
- Manage patient bookings, referrals and correspondence, ensuring every patient journey is organised and seamless. Support surgical coordination
- Prepare surgical quotations, coordinate bookings and work closely with specialists, nurses and external providers. Own medical administration
- Maintain accurate, confidential patient records and ensure clinical documentation and correspondence are managed to a high standard. Manage billing & accounts
- Process Medicare and private health claims, payments, invoicing and receipts, while confidently following up outstanding accounts. Keep the clinic running smoothly
- Support day-to-day clinic operations, including opening and closing procedures, supplies and maintaining a professional environment. Be a trusted team player
- Work independently while collaborating closely with doctors, nurses, colleagues and patients to deliver a consistently high standard of service.
About You
You have previous experience in medical administration , ideally within a specialist medical practice. Prior experience working within a Medical Specialist clinic would be highly advantageous, along with experience using FYDO Docs. You’re warm, professional and confident when dealing with patients, doctors and referrers.
You’re highly organised and can juggle competing priorities without losing attention to detail . You communicate clearly and confidently, both face-to-face and over the phone . You have strong computer skills and are confident learning and using practice management systems . Most importantly, you’re someone who genuinely cares about patient experience, teamwork and doing things the right way .
