Grooming Scheduler

Las VegasPosted Oct 16, 2026

Job description

Position Overview

We are looking for a friendly, detail-oriented Appointment Scheduler to run scheduling for both our grooming shop and our mobile grooming service, keeping every calendar full, accurate, and running smoothly. You will be the voice clients hear when they call, text, or book online, and the person who makes sure every pet is matched with the right groomer, in the shop or at their door, at the right time.

The ideal candidate loves pets, enjoys solving scheduling puzzles, and stays calm and upbeat when the phones are busy. Experience with MoeGo is strongly preferred.

Key Responsibilities

Scheduling & Calendar Management Book, reschedule, and cancel shop and mobile grooming appointments by phone, text, email, and online request. Manage the shop calendar, mobile van schedules, and online booking in MoeGo. Review online booking requests for accuracy, including breed, size, coat condition, requested services, and service address for mobile visits.

Match each appointment to the right groomer and setting (shop or mobile) based on skills, service length, and availability. Plan mobile routes by service area to reduce drive time and keep vans on schedule. Build efficient daily schedules for shop and mobile groomers that maximize productivity and minimize gaps. Manage waitlists and quickly fill last-minute openings in the shop and on mobile routes.

Coordinate groomer schedule changes, time off, and recurring appointments across both teams. Client Communication Answer calls, texts, emails, and online inquiries promptly and warmly. Confirm appointments and manage automated and manual reminders to reduce no-shows. Explain services, pricing, policies, and appointment timing clearly.

Notify clients of delays, schedule changes, shop pick-up times, and mobile arrival windows. Handle client concerns professionally and escalate issues when needed. Records & Administration Keep client and pet profiles accurate, including vaccination records, behavior notes, service history, and mobile service addresses and access notes.

Track no-shows, late cancellations, and deposits according to salon policy. Client Retention Encourage clients to pre-book their next appointment before they leave. Monitor clients who are due or overdue for grooming and reach out to rebook. Promote add-on services, packages, memberships, and seasonal specials.

Qualifications

Previous scheduling, receptionist, customer service, or administrative experience. Strong computer skills and the ability to learn scheduling software quickly. Excellent phone, text, and written communication skills. Strong attention to detail and organization. Ability to juggle multiple requests and stay calm during busy periods.

Comfortable working around dogs and cats of all sizes and temperaments. Reliable, punctual, and team-oriented.

Preferred Skills

Experience using MoeGo (strongly preferred). Experience in a pet grooming, veterinary, boarding, or pet care setting. Familiarity with other online booking platforms and point-of-sale systems. Basic knowledge of dog and cat breeds, coat types, and grooming services, and how they affect appointment length. What Success Looks Like The calendar is accurate, full, and free of double-bookings.

Shop and mobile groomers have productive days with few gaps and efficient routes. Cancellations are filled quickly from the waitlist. No-shows are kept low through timely confirmations and reminders. Most clients leave with their next appointment already booked. Clients feel heard, informed, and eager to return.
