Job description
The Proposal Development Associate supports the development and submission of high-quality technical proposals that advance Mathematica’s new business opportunities. Working closely with proposal directors and cross-functional proposal teams, the position helps coordinate proposal activities, manage timelines and deliverables, and ensure teams remain on schedule and aligned with submission requirements.
The role provides comprehensive proposal management support throughout the proposal lifecycle, including planning, coordinating, and submitting complex, time-sensitive proposals. It also contributes to the development and implementation of tools, processes, and best practices that improve the efficiency, consistency, and effectiveness of proposal development.
Core Responsibilities: Support the full proposal development lifecycle, helping teams plan, coordinate, develop, and submit high-quality, compliant proposals within established deadlines. Develop and maintain proposal schedules, compliance matrices, outlines, and other tools that guide proposal development and ensure submission requirements are met.
Coordinate proposal kickoff meetings, strategy discussions, and other team meetings; document and communicate key decisions, action items, and next steps. Organize and maintain proposal files and resources, and assist proposal authors in identifying relevant background materials, prior proposal content, standard language, graphics, and other supporting materials.
Coordinate across internal teams, including pricing and other business functions, to ensure technical, financial, and administrative components are aligned. Coordinate with subcontractors and consultants to obtain required information and materials for inclusion in technical proposals. Develop and compile key proposal components, such as project timelines, deliverables schedules, staffing information, and other supporting materials.
Coordinate quality assurance reviews and proposal production activities, including editing, formatting, graphics, and final submission support. Support business development resources and activities related to priority clients and growth opportunities, including expansion among non-federal clients. Assist with proposal-related trainings and provide guidance to proposal teams on established processes, tools, and best practices.
Contribute to analyses of proposal and business development activities to support continuous improvement and organizational decision-making. Perform additional duties as assigned.
