This role is central to producing accurate, polished client deliverables; coordinating engagement letters and electronic signatures; maintaining workflow trackers; and supporting the secure delivery and retention of client records.
The ideal candidate is proactive, dependable, and comfortable balancing multiple deadlines while handling confidential financial information. Success in this role requires strong document-production skills, sound judgment, excellent follow-through, and a commitment to exceptional internal and external client service.
Job Responsibilities

Coordinate engagement letters and electronic signature workflows, including secure delivery, follow-up, retrieval, filing, and status communication. Maintain processing schedules and specialized trackers for engagement status, due dates, signatures, confirmations, tax returns, and other workflow milestones.
Confirm required approvals, signatures, and supporting documents are complete before client materials are released or filed. Create and assemble secure electronic and physical client packages, including printing, scanning, binding, labeling, mailing, and records retention. Communicate with clients and engagement teams regarding document delivery, signature requirements, outstanding items, deadlines, and project status.
Support nonprofit and other tax-return administration, including e-file authorization forms, action-required materials, tracking, and filing documentation. Coordinate priorities, meeting materials, coverage, and production needs with professionals and administrative colleagues across offices. Maintain confidentiality, accurate records, and compliance with established document-management procedures.
Assist with office administration, systems support, training, and process improvement as needed.
Requirements
High school diploma or equivalent required; associate degree in business administration, accounting support, office administration, or a related field preferred. 3+ years of administrative, document-production, or professional-services experience preferred. Experience supporting multiple professionals and managing confidential, deadline-sensitive client deliverables strongly preferred.
Intermediate to advanced proficiency in Microsoft Word, Excel, Outlook, and Teams. Experience with Microsoft Copilot a plus. Strong PDF creation, document formatting, proofreading, and quality-control skills. Experience with secure e-signature, document-management, workflow, practice-management, or client-portal systems is preferred.
Excellent organization, communication, prioritization, and problem-solving skills. Ability to work independently, adapt to changing priorities, and handle confidential information professionally. Experience in a CPA firm, legal office, financial-services environment, or another regulated professional-services setting is a plus.
