Position Overview
The IT Project Manager (PMO) is part of the ITS PMO and is responsible for managing the end-to-end lifecycle of technology projects , covering both clinical and non-clinical initiatives. This role spans from discovery and requirements gathering through planning, execution, implementation, and closure , ensuring alignment with: Organizational strategy Regulatory requirements (including HIPAA) Business and user needs The PM leads cross-functional initiatives involving ITS, Health Informatics, clinical teams, compliance, and external vendors, with a strong focus on: Netsmart my.
Avatar EHR enhancements System configurations and integrations The ideal candidate has experience in healthcare, behavioral health, or human services environments , particularly with EHR platforms (preferably Netsmart my. Avatar) , and can operate autonomously while communicating effectively with both technical teams and executive stakeholders.
Key Responsibilities
- End-to-End Project Lifecycle Management Lead projects following the PMO framework across all phases: Discovery & Initiation Conduct stakeholder interviews Define problem statements and business cases Develop Project Charters Planning Build project plans (WBS, Gantt, resource plans) Define risks, communication plans, and timelines Use tools such as MS Project, Smartsheet, or Jira Execution Coordinate cross-functional teams Manage task assignments and delivery timelines Facilitate Agile ceremonies (stand-ups, sprint planning) Monitoring & Control Track progress via dashboards and reports Manage risks, issues, and scope changes Execute formal change control processes Closure Conduct post-implementation reviews Document lessons learned Ensure stakeholder sign-off and transition to operations
- EHR (Netsmart my. Avatar) Project Management Lead EHR enhancement projects (configuration, workflows, module rollouts) Translate business requirements into technical deliverables Coordinate with Health Informatics, clinical teams, and vendors Testing & Go-Live Manage UAT cycles (test plans, defect tracking, validation) Ensure go-live readiness (training, cutover, hypercare support) Migration Projects Support Netsmart my. Avatar NX SaaS migration Coordinate data migration, upgrades, and rollout sequencing Vendor Management Manage Netsmart vendor relationships Track SLAs, escalate issues, and coordinate with TAMs
- Clinical & Non-Clinical Project Portfolio Manage multiple concurrent initiatives, including: Clinical EHR implementations Health Information Exchange (HIE) integrations Telehealth platforms Clinical decision support tools Non-Clinical Infrastructure projects Cybersecurity initiatives Enterprise software and business applications Support execution of the ITS technology roadmap , aligning with: Funding cycles Regulatory timelines Operational capacity
- Stakeholder Management & Communication Act as the main point of contact across technical and business teams Maintain alignment across ITS, clinical teams, compliance, and leadership Reporting Produce weekly status reports (RAG indicators) Track milestones and schedule variance Present updates to CIO, PMO leadership, and executives
- PMO Tools, Governance & Metrics Maintain project artifacts (WBS, RACI, risk logs, charters) Use tools such as: MS Project Smartsheet Jira / Confluence Adobe Workfront Performance Tracking Monitor KPIs: On-time delivery Schedule variance (SV) Cost performance (CPI) Issue resolution time Change requests Compliance Ensure adherence to governance standards Maintain HIPAA and regulatory compliance
- Methodologies (Agile & Waterfall) Apply Agile/Scrum for iterative EHR and product enhancements Apply Waterfall for infrastructure and regulatory projects Use hybrid approaches when needed Agile Responsibilities Facilitate Scrum ceremonies Manage backlogs with technical teams Drive continuous improvement
