Job description
The OBGYN Operations Manager is responsible for overseeing the day-to-day operations of the OBGYN department. This position requires a candidate that will lead, motivate, and support a large team within a demanding environment, ensuring efficient service delivery, staff coordination, compliance with regulations, and smooth administrative functions, while prioritizing patient care and quality standards within the OBGYN setting.
The OBGYN Operations Manager demonstrates excellent communication and interpersonal skills to effectively interact with patients, staff, and stakeholders and has excellent analytical and problem-solving skills to identify and address operational challenges. The OBGYN Operations Manager supports the Chief OBGYN Officer and OBGYN Providers in overseeing the functions of the OBGYN Support Staff, including Clinical Supports Supervisors, OBGYN Coordinators, LPNs, and Medical Assistant and serves as a resource to all OBGYN staff.
Part of their responsibilities include collaboration with fellow team members to ensure effective patient care delivery, achievement of desired outcomes, and increases the efficiency of existing processes and procedures to enhance OBGYN department’s internal capacity. The OBGYN Operations Manager is responsible for inventory management and contributes to maintaining up-to-date program descriptions, policies, and procedures, participates in special assignments, audits, and focus projects, and performs other related work as assigned by the Chief OBGYN Officer.
This position requires compliance with the Center’s Compliance Program and Standards of Conduct and applicable policies and procedures. Such compliance will be considered as part of a regular performance appraisal. Failure to comply with the Center’s standards, including the failure to report any conduct or event that potentially violates legal or compliance requirements, will be met by the enforcement of disciplinary action, up to and including possible termination.
Page Break Essential Functions: Quality Assurance: Manage daily operations of the OBGYN department, including overseeing all OBGYN staff scheduling of appointments, coordinating patient flow, and ensuring timely delivery of services. Following guidance from the Chief OBGYN Officer, implement and monitor quality improvement initiatives to enhance patient care delivery and outcomes.
Analize data to identify trends and areas for improvement in quality of delivery of OBGYN services. Participate in supply requisition and maintenance including collaborating with operations to order department supplies. Staff Supervision and Development: Assist in the onboarding and ongoing training of OBGYN team members as directed by the Chief OBGYN Officer.
Provide leadership and guidance to OBGYN support team staff. In collaboration with the Chief OBGYN Officer, conduct performance evaluations to support team staff, identify training needs, and facilitate staff development opportunities. Address OBGYN supports staff’s concerns and resolves conflicts in a timely and professional manner.
Manages OBGYN Provider and support team staff, to include planning, assigning, and directing their task/work, and will report on case load progress and utilization for the OBGYN team. Collaboration and Communication Monitors, identifies, manages, and follows up with billing issues in collaboration with the Centers billing department.
Monitors and manages new internal and external referrals, frequently providing updates to Chief OBGYN Officer. Monitors pre-authorizations, authorizations, and re- authorizations of OBGYN services and lab work. Assists OBGYN support staff in facilitating administrative integration and continuity of care between practices such pediatrics and dental.
Triage calls, assess for appropriateness within the scope of practice of the Center, and redirect cases to other community resources when necessary. Provide information about the Center's services to patients and community partners. Obtain documentation required for care collaboration with internal and external referring sources.
Facilitate communication between the OBGYN and operations teams during emergency cases by addressing the financial and administrative needs of the client and center, while following the treatment recommendations provided by their assigned provider(s) while also updating the Chief OBGYN Officer or clinical supervisor of the emergency.
Contact appropriate emergency services under the recommendation of the rendering provider. Other duties as assigned by Chief OBGYN Officer. Qualifications, Education, and Experience Three to five years of experience working with OBGYN department. Bachelor’s degree in healthcare administration, business operations, or related field from an accredited college or university.
Clinical Nursing background/experience preferred. Proven experience in OBGYN operations management, ideally within clinical setting. Read, write, and speak fluent English/Spanish. Proficient in Microsoft Office Suite programs, strong IT skills, and Electronic Medical Records.
