Position Summary
Tiny Hearts of America is seeking a motivated, organized, and community-minded Program Coordinator to support the planning, coordination, implementation, and ongoing development of one or more of our community programs. The Program Coordinator plays an important role in turning program goals into action. This position works closely with organizational leadership, program staff, volunteers, community partners, businesses, schools, families, and other stakeholders to ensure programs are organized, accessible, and aligned with the mission of Tiny Hearts of America.
Program assignments may vary based on organizational needs and the candidate's experience, skills, and interests.
Key Responsibilities
Coordinate the day-to-day activities and operations of assigned programs. Assist with developing program goals, activities, schedules, and implementation plans. Support program launches, community events, outreach activities, and service initiatives. Recruit, coordinate, communicate with, and support program volunteers.
Work with community partners, businesses, schools, agencies, and other organizations to strengthen program resources and participation. Build and maintain positive relationships with community members and program participants. Assist with identifying community needs and opportunities for program growth. Coordinate program supplies, materials, resources, and logistical needs.
Maintain accurate program records, participant information, volunteer information, and activity documentation. Track program activities, participation, outcomes, and other required metrics. Ensure program activities are conducted in accordance with Tiny Hearts of America's policies, procedures, and applicable requirements.
Communicate program updates, needs, challenges, and accomplishments to organizational leadership. Assist with creating program reports, presentations, outreach materials, and other documentation. Participate in staff meetings, training, planning sessions, and organizational activities. Assist with fundraising, sponsorship, resource development, and community engagement activities related to assigned programs.
Identify challenges and recommend solutions that can improve program effectiveness and participant experience. Represent Tiny Hearts of America professionally at community events, meetings, and partner activities. Perform other duties and responsibilities as assigned. Program Development & Community Engagement Program Coordinators are expected to take an active role in helping Tiny Hearts of America grow its programs and strengthen its community presence.
This may include: Developing relationships with potential community partners and resource providers. Identifying new opportunities to serve children, families, and communities. Assisting with community outreach and program recruitment. Helping develop new program activities and initiatives. Gathering feedback from participants, volunteers, and partners.
Helping identify gaps in services and resources. Supporting efforts to expand the reach and sustainability of assigned programs. Administrative & Accountability Responsibilities The Program Coordinator is expected to maintain accurate and timely documentation related to their assigned program and utilize the organization's designated systems for communication, reporting, scheduling, and record keeping.
The coordinator must: Follow Tiny Hearts of America's policies and procedures. Protect confidential and sensitive information. Maintain accurate program documentation. Complete required reports and assignments within established deadlines. Communicate issues or concerns to the appropriate supervisor. Participate in required organizational meetings and training.
Maintain professional communication with staff, volunteers, participants, and partners.
Requirements
Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to work independently while also functioning effectively as part of a team. Strong interpersonal and relationship-building skills. Demonstrated reliability, professionalism, and follow-through. Ability to manage multiple priorities and meet deadlines.
Commitment to community service and the mission of Tiny Hearts of America. Basic computer and technology skills. Preferred: Experience in nonprofit, community outreach, human services, education, social services, healthcare, volunteer management, or program coordination. Experience working with volunteers or community partners.
Experience coordinating events, programs, or community initiatives. Experience with databases, project-management platforms, or other organizational technology. College coursework or a degree in social work, human services, public administration, business, education, nonprofit management, or a related field. Ideal Candidate We are looking for someone who is proactive, dependable, organized, and passionate about serving others.
The ideal candidate does not simply wait for instructions but can recognize opportunities, take appropriate initiative, communicate effectively, and follow projects through to completion. A successful Program Coordinator should be comfortable working with people from different backgrounds and should understand that effective community programming requires relationship building, collaboration, accountability, and consistent follow-through.
Position Structure This is a volunteer position. The position may be performed remotely for administrative responsibilities, with participation in community meetings, events, program activities, partner meetings, or other in-person activities as program needs require. The specific program assignment will be determined based on organizational needs and the coordinator's qualifications, experience, and interests.
