Office Administrator
Job description
The Office Administrator manages and coordinates company-wide events, works with facilities to ensure a clean and orderly office environment, facilitates office maintenance solutions and projects, and is responsible for supply needs in the office. Additionally, this role provides confidential support to Human Resources, the Leadership Team, and Board of Directors, providing logistics support for Board Meetings and other Leadership meetings.
This role interacts with and impacts everyone in the Company. NOTE: This is an onsite position requiring daily attendance at our headquarters in Irvine, CA.
RESPONSIBILITIES
Plan and execute company events/meetings with the support of Culture Club (and HR) Arrange new hire First Day Agenda (with HR) and prepare employee workspace Process and manage I-9 forms (with HR) Administer service recognition program (with HR) Manage electronic suggestion box (with HR) Manage some HRIS functions (with HR) Act as company ambassador Manage office equipment and services Support facilities and coordinate service and repair needs Provide administrative support to the Leadership Team Coordinate board meeting logistics including communications and travel Assist in managing corporate contracts REQUIREMENTS Strong proficiency using MS Office Suite (Outlook, Word, Excel, Power Point) Clear written and verbal communication skills with a collaborative approach Results-oriented with appropriate urgency and strong follow-up Ability to work as a collaborative team member as well as independently Exceptional attention to detail Flexibility and strong organization skills with ability to prioritize multiple tasks Applies sound judgement when making decisions and communicating with internal and external customers Strives for efficiencies presenting creative and fresh ideas to solve problems Acts proactively vs.
