Position: Counseling/Activities Secretary Qualifications: Education level: High School Diploma or equivalent (GED), Associate's degree preferred Certification: None Experience Desired: Minimum of 3 years experience in a secretary and/or customer service role Other Requirement: Must be able to type at an acceptable rate with good grammatical structure, promote a welcoming environment to the office by modeling a positive demeanor to students, staff and visiting public, be proficient in the use of phone, internet, email, Microsoft Office and Google applications, must maintain confidentiality in all matters, be self-directed and detail-oriented, can produce documents accurately and efficiently, be quick to learn new software programs, formulate positive relationships with students, staff, parents and community patrons, demonstrate trustworthiness, honesty and loyalty, also demonstrate a strong work ethic with superior work attendance history and p ossess strong interpersonal skills and flexibility to build relationships in two locations.
General Summary: Building secretaries act as gatekeepers for the building. They screen, manage, and troubleshoot the foot traffic in their building to ensure the safety of their students and staff. They provide assistance to the building administrator as well as building employees. Deadlines dictate priorities, which contribute to a fast-paced environment at times.
In this position, distractions are inevitable. It is important to be flexible, detail-oriented, and maintain strong organizational skills. It is equally important to be goal-driven and maintain a high level of professionalism while adhering to Board policy. Performance Responsibilities: Coordinate, process, and maintain student withdrawal and drop documentation.
Process and maintain A+ Program paperwork and related records Assist with 180-day follow-up contacts and documentation. Organize, manage, and maintain student graduation requirements Answer, initiate, and direct calls for assigned offices and respond to requests for access through secured building entrances. Develop a working knowledge of main office procedures and provide coverage as needed.
Maintain coaching certification records, monitor expiration dates, and assist coaches with required documentation. Coordinate and process transportation requests for athletics and activities. Coordinate facility-use scheduling for athletic and activity venues across the district. Coordinate youth sports facility-use requests, scheduling, and related arrangements across the district.
Design and publish graphics and promotional materials. Prepare and reconcile gate cash boxes and process event revenue deposits in accordance with district procedures. Create, update, and publish athletic programs and brochures. Compile, maintain, and distribute academic and attendance progress reports for students. (at-risk, athletics, and activities) Verify accuracy and completion of MSHSAA schedules and compile them for publication.
Maintain and update the athletics and activities Google Calendars. Provide clerical and administrative support across multiple offices, adjusting priorities to meet building needs. Work occasional evenings and weekends as required to support school events and operations. Candidate will obtain or be willing to obtain a notary public upon hiring Perform other duties as assigned.
