Purpose : Responsible for processing all release of information requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service.

Essential Duties/Responsibilities : Receives, sorts, and distributes requests received in the department in an accurate and timely manner in accordance with department work assignments. Accurately identifies requests that are urgent in nature and prioritizes appropriately. Validates requests and authorizations for release of medical information according to established procedures and in accordance with Federal and State regulations and guidelines.

Works within scope of position. Determines records to be released by reviewing requestor information in accordance with HIPAA guidelines and obtaining pertinent patient data from various sources, including electronic, off-site, or physical records that match patient request. Logs disclosure of information in the patient’s Health Record according to department guidelines.

Generates invoice and collects payment for billable releases according to department guidelines and Federal limitations. Answers and responds appropriately to phone calls received in the department. Works successfully with other departments to develop and maintain efficient release of information processes and protocols.

Maintains knowledge of and adheres to Federal, State and company retention and destruction of records guidelines. Successfully participates in archiving paper and electronic health records. Receive and follow work schedule/instructions from supervisor and as outlined in established policies and procedures. Escalates issues to direct supervisor that delay timely release of records.

Maintains patient confidentiality by keeping patient record information confidential. Serves and protects the clinic community by adhering to professional standards, clinic policies and procedures, and federal, state, and local requirements. Enhances department and clinic reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Ability to work independently and as a team player. Communicates with coworkers and with clinical staff in a professional manner.
