Administrative Assistant (FTC 6 months+)
Job description
This is a Fixed Term Contract for 6 months with a potential to extend subject to business requirements. Administrative assistant duties and responsibilities include providing administrative support to ensure the efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.
Administrative assistants are responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
What You Will Do
Operations support: Coordinate vendor attendances, Surveyor allocations, client documentation, audits and shared mailbox enquiries. Finance administration: Process invoices, credit notes, supplier invoices, proformas, payment follow-up and basic account reconciliations. Office administration: Maintain files, reports and meeting minutes; manage calls, visitors, IT queries, training, stationery, PPE and shipments.
Compliance and safety: Support audits and compliance records; maintain office HSQE requirements, certifications, equipment checks and safety supplies. Facilities and team support: Coordinate office facilities, onboarding, social events and provide emergency-role support as First Aider/Fire Warden/DSE Assessor. Cover and ad-hoc support: Provide cover for other administrative activities, including manual invoicing, as required.
What You Will Need
Education and Experience
High School diploma or equivalent 0‒2 years of previous related experience Knowledge, Skills, and Abilities Ability to develop a working knowledge of ABS Rules, Guides, statutory regulations, and related instructions, as well as the ABS Employee Safety Policy. Strong MS Office experience, such as word processing and spreadsheet creation Proficient clerical skills such as file maintenance, record keeping, and office equipment use.
Excellent arithmetic abilities. Good interpersonal, professional, and communications skills for use in person, in writing, and in telephone conversations. Ability to become familiar with the ABS Health, Safety, Quality, and Environmental Management System. Must hold a legal right to work status in the UK. Reporting Relationships: Reports directly to a department Manager, Supervisor or above.
