Patient Service Representative Dermatology Treatment and Research Center (DTRC) 5310 Harvest Hill Road, Suite 138 Dallas, TX 75230 We are seeking a Patient Service Representative to join our team at Dermatology Treatment and Research Center (DTRC) in North Dallas. The Patient Service Representative is primarily responsible for supporting our clinic’s daily operations by providing excellent customer service, administrative support, and general clerical duties.
This position contributes to a positive work environment by treating patients, providers, managers, and team members with professionalism, fairness, and courtesy. The Patient Service Representative must maintain compliance with HIPAA, OSHA, and all applicable federal and state guidelines related to patient care and privacy.
Key Responsibilities
Greet patients and caregivers while providing welcoming, professional customer service. Schedule and reschedule patient appointments as needed. Prepare charts for the following business day. Verify insurance eligibility and benefits, including copays, deductibles, and coinsurance. Obtain prior authorizations and referrals when required.
Communicate patient financial responsibilities at check-in and checkout. Collect and accurately post copays, balances, deductibles, cosmetic treatment payments, and other monies due at the time of service. Assist patients with check-in, including verifying demographics, obtaining identification and insurance cards, and completing required forms and consents.
Assist with checkout and schedule follow-up appointments as directed by providers and clinical staff. Document and contact no-show patients as needed. Assist with product sales. Scan completed fee tickets into patient charts. Complete end-of-day fee ticket processing, batch submission, and cash reconciliation with a high degree of accuracy.
Maintain clean, comfortable, and organized patient waiting areas. Effectively use practice management systems, EMRs, internet-based applications, and standard office software. Remain logged into the communication portal and maintain communication with the call center as required. Process medical records requests in accordance with HIPAA guidelines.
Distribute incoming faxes to the appropriate team members. Communicate updates between patients, staff, and providers to support efficient patient flow and timely service. Perform other duties as assigned by management.
Qualifications
High school diploma or equivalent required. Minimum of one year of customer service experience required. Healthcare experience preferred. Previous dermatology experience is a plus. Bilingual Spanish-speaking skills are a plus, but not required. Professional, courteous, and patient-focused demeanor. Excellent verbal and written communication skills.
Strong active listening and problem-solving skills. Detail-oriented with strong accuracy and organizational skills. Ability to effectively manage multiple responsibilities in a fast-paced, changing environment. Strong interpersonal skills and ability to build positive relationships with patients, providers, and team members.
Ability to remain professional, adaptable, and composed during challenging situations.
