Job description

General Description The Virtual Receptionist will serve as the first point of contact for clients, partners, and prospects by managing incoming calls, emails, and appointment scheduling. This role requires excellent communication skills, professionalism, and the ability to deliver exceptional customer service while maintaining a high level of organization and attention to detail.

The Virtual Receptionist plays a vital part in ensuring smooth daily operations, providing administrative support, and maintaining a positive brand image through responsive and courteous interactions.

Job Responsibilities

  1. Call Handling Answer incoming calls promptly and professionally. Screen, forward, or take detailed messages as required. Provide accurate information about the company’s services and assist callers with general inquiries. Maintain call logs and ensure follow-ups are completed on time.
  2. Email Management Monitor and manage the company’s inbox(es), responding to inquiries in a timely and professional manner. Prioritize, categorize, and forward emails to the appropriate team members. Maintain organized email communication records for reference and reporting.
  3. Appointment Scheduling Manage calendars and schedule appointments using tools such as Google Calendar, Outlook, or CRM-integrated scheduling systems. Coordinate with internal teams and clients to confirm meeting details and ensure all appointments are properly documented. Send reminders and follow-ups to reduce no-shows and scheduling conflicts.
  4. Customer Service & Administrative Support Provide exceptional client experience by offering courteous, helpful, and solution-oriented communication. Maintain a professional tone and consistent brand voice in all interactions. Support administrative tasks such as data entry, updating client records, and preparing simple reports.
  5. Coordination & Communication Collaborate with internal teams (sales, operations, client success) to ensure efficient handling of inquiries and appointments. Escalate urgent issues or complex client requests to the appropriate department.

Requirements

Proven experience as a Virtual Receptionist, Administrative Assistant, or Customer Service Representative Excellent verbal and written communication skills in English Strong telephone etiquette and professional tone Proficient in using communication and scheduling tools (e.g., Google Workspace, Outlook, Zoom, Calendly, CRM platforms) Excellent organizational and multitasking abilities Ability to handle sensitive information with confidentiality and professionalism Reliable internet connection and quiet remote working environment Preferred: Experience working in a remote or BPO/outsourcing setup Familiarity with CRM systems (e.
