Job Purpose Manage and control project documentation across multiple projects, ensuring accuracy, version control and traceability at all times. Administer document management platforms (Aconex, SharePoint, Autodesk Construction Cloud) to ensure timely distribution, transmittal and retrieval of project information. Support project and engineering teams by ensuring all technical documentation is properly logged, filed, and accessible in line with company IMS/QMS procedures.
Qualification and Experience Bachelor's degree or diploma in a relevant field, or equivalent industry experience. Minimum 3-4 years' experience as a Document Controller within an engineering, architecture, or construction consultancy environment. Proficient in Aconex, Microsoft Office (Word, Excel, Outlook), SharePoint, and Autodesk Construction Cloud (ACC).
Strong understanding of document control procedures, numbering conventions, and transmittal processes.
Responsibilities
Set up and manage project document control systems (Aconex, SharePoint, ACC) in line with project and company procedures. Upload, register, code, and distribute incoming and outgoing project documentation, drawings, and correspondence. Track document status, revisions, and approval workflows, ensuring version control across all platforms.
Issue transmittals and maintain accurate document registers and audit trails. Coordinate with project teams, subconsultants, and clients to ensure timely submission and receipt of documentation. Monitor and report on outstanding actions, document turnaround times, and compliance with project timelines. Maintain electronic and physical filing systems in line with company IMS/QMS procedures.
Provide training and support to project staff on the use of document management platforms. Ensure confidentiality and security of project information at all times. Escalate complex or non-standard document control issues to the Document Control Lead for review.
