Bid & Tendering Executive

About the Role
We are seeking a proactive Bid & Tendering Executive to support tender management activities, ensuring all submissions meet client requirements and are completed accurately and on time. The successful candidate will assist in identifying tender opportunities, analysing bid requirements, coordinating internal documentation, and preparing submission packages in collaboration with relevant departments.
The role is suited to a professional with 2–4 years of experience in tendering, commercial coordination, or contract administration who is comfortable working in a deadline-driven environment.
Key Responsibilities
Review tender invitations, RFPs, and RFQs to understand scope, requirements, and submission timelines. Coordinate the preparation and submission of tenders in line with client instructions. Gather technical, financial, commercial, and operational documents from relevant stakeholders. Prepare, compile, and format tender submissions and supporting documentation.
Verify that all required forms, attachments, declarations, and supporting documents are included. Ensure tender submissions comply with client specifications and submission guidelines. Maintain an organised database of tender documents, deadlines, outcomes, and related correspondence. Track new opportunities through tender portals and assist with bid qualification activities.
Manage tender-related correspondence, clarification requests, and internal follow-ups. Support senior team members on high-value or complex tenders and independently manage smaller bids as experience grows.
Requirements
Bachelor's degree in Business Administration, Engineering, or a related discipline. 2–4 years of experience in tendering, bid coordination, contracts, or commercial administration. Working knowledge of tender preparation, document control, and submission processes. Strong written English and professional communication skills.
High attention to detail with strong planning and time-management abilities. Ability to work with cross-functional teams and deliver under tight deadlines. Good working knowledge of Microsoft Office, particularly Word and Excel. Exposure to construction, engineering, infrastructure, technical services, or facilities management is desirable.
Previous GCC or Qatar experience is an added advantage.
