Job summary

As an Administrative Assistant in Home Lending, you play a key role in supporting our leaders and ensuring smooth operations across the organization. You work collaboratively within a team environment, represent the manager and group with professional courtesy, and deliver flawless work output. Job responsibilities

Maintain complex and detailed calendars and screen incoming calls and determine the level of priority, using discretion in dispensing information Manage coordination and logistics for internal and external meetings Arrange and coordinate complicated domestic and international travel and organize all aspects of offsite conferences and external events, including catering and transportation Process invoices and T&E expense claims for team members, ensuring compliance with policies and guidelines Assist with staff onboarding and offboarding, including equipment setup and system access requests Produce high-quality emails and messages to individuals at all levels of the organization Maintain current organizational charts and Executive Bios Handle regular activities proactively and advise in advance of issues or delays and lead and coordinate ad hoc projects as requested Assist in editing spreadsheets and presentations, including printing and binding for client meetings Work cooperatively with the administrative assistants team to support each other smoothly Required qualifications, capabilities, and skills At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above Advanced organizational skills Tact and good judgment in confidential situations, with proven experience interacting with senior management Strong interpersonal, written, and oral communication skills Proficiency in Microsoft Office Excellent telephone etiquette and ability to manage competing priorities, including calendar management Preferred qualifications, capabilities and skills Experience supporting executive-level leaders in a financial services environment Demonstrated ability to coordinate complex travel and event logistics Familiarity with invoice and expense processing systems Experience with staff onboarding and offboarding procedures Ability to produce high-quality communications for senior stakeholders Proven success in leading ad hoc projects Strong partnership skills within administrative teams
