The pay range for this position is between $20.00 - $25.30 hourly. Starting pay is determined based on relevant professional experience and qualifications.
Job Summary
The Outpatient Scheduling Agent is primarily responsible for maximizing schedule utilization by actively managing assigned office schedules and proactively filling open appointment slots, in addition to scheduling patients across multiple imaging modalities at all MRA service locations. This position also provides additional support to the assigned office with varied administrative tasks including patient registration workflow.
Key Accountabilities:
- Proactively manage assigned office schedules across all imaging modalities by monitoring appointment availability in real time and filling open appointment slots to maximize schedule utilization and patient access.
- Schedule patients for all MRA service locations by making outbound calls to patients and referring offices in accordance with established protocols, workflows, procedures, and scripting.
- Obtain and enter appropriate system and diagnosis information when scheduling all radiology exams and maintain familiarity with exam preparedness.
- Maintain certified proficiency in scheduling for X-Ray, DEXA, Fluoroscopy, CAT Scan, Ultrasound, Mammography, and MRI exams.
- Maintain up-to-date training and reference materials and remain in a state of continuous learning and improvement.
- Meet or exceed individual performance criteria and strive to achieve desired call center metrics and established departmental goals.
- Greet patients, respond to incoming calls, and facilitate accurate, timely patient flow and appropriate call routing.
- Obtain, enter and verify all patient demographic and insurance data necessary to complete a patient registration.
- Explain financial requirements to patients/responsible parties and instruct them to payment procedure when required. Collect insurance co-pays as applicable.
- Obtain all necessary signatures and initiate required documents for scheduled procedures.
- Coordinate with internal departments, insurance carriers, and referring physician offices to obtain and verify patient demographic and insurance information.
- Perform insurance verification processes.
- Obtains and provides reports and images on CD to patients or physician’s offices.
- Assists in the Hereditary Cancer Risk Assessment program.
- Follow established organizational policies and procedures, including departmental cleanliness and disinfection standards.
- Deliver professional, compassionate customer service and demonstrate H3W behaviors.
- Performs other duties as assigned based on the changing needs of the organization. Qualifications
Education
& Experience:
- High school diploma or equivalent.
- Experience providing healthcare-related customer service and scheduling is preferred.
- Experience being accountable for call center metrics is preferred (answer time, average handle time, return to queue, etc.). Knowledge, Skills, & Abilities:
- Excellent interpersonal, analytical, communication, and problem-solving skills.
- Ability to multitask and work in a fast-paced, dynamic work environment.
- Must have a friendly and caring attitude with empathy for each patient.
- Must be reliable and maintain an attendance and punctuality record that complies with organizational policies.
- Willingness to be held accountable for their work and the work of their teams.
- Desire to hold yourself responsible for offering the best patient experience possible.
- Maintain the confidentiality of patient records.
- Ability to understand and follow specifications and instructions. Attention to detail is required for success. Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to15 pounds.
- Repeating motions that may include the wrists, hands and/or fingers.
- Moving about to accomplish tasks or moving from one worksite to another.
