ROLE SUMMARY
The United Nations International School is seeking an Administrative Assistant to provide administrative and logistical support to the Middle School. The candidate for this position must be able to flourish in a high energy, fast-paced and diverse environment. The ideal candidate will show initiative, a willingness to learn, and a desire to work with, and support, middle school students, faculty and Administration.
This position reports to the Middle School Principal RESPONSIBILITIES Attendance Management: Take and maintain daily attendance, early dismissal for all middle school students Identify and address attendance discrepancies, contacting parents, teachers, and security personnel as needed Manage all telephone and general email communication from parents regarding student absences and needs Communication & Coordination: Coordinate and send communications to middle school families Organize and support the Principal's and Assistant Principal's correspondence, calendar, and phone calls Maintain and update an internal middle school calendar Support the Teacher Absence Management process, including meeting substitutes, payroll, providing computers, and showing them to classrooms, Facilitate communication between students, faculty, and all relevant school departments (e.
g., After-school Activities, Athletics, Tech Support, Food Service, Maintenance, Transportation) Liaise with Maintenance, Food Service and IT Departments for all Middle School needs Support and organize and schedule curriculum meetings and GLCs meetings. Supporting the organization of Middle School overnight Camps - including admin support for the MS Camp Coordinator (communication with departments across the school; ordering buses and supporting all logistics related to overnight Camps).
Resource & Event Management: Order, maintain, and distribute all middle school supplies Organize parent-teacher conferences Support in the organization of MAP testing Coordinate Middle School room bookings Manage and maintain smooth operation of copiers for student and teacher use and ensures all photocopying equipment is fully operational, supplies are stocked, Coordinate field trips and special events for the middle school Organize and support all special events including, assemblies, faculty meetings, photo day, orientation Data & Technology: Manage and update class lists (including withdrawals and new admissions) Maintain lists of all middle school teachers and their assignments Process and log middle school budget-related information Maintain digital platforms providing information for parents, students, and faculty Create weekly newsletters using Veracross Liaise with the Technology and Business Departments on the distribution and payment of Yondr pouches for MS students.
Reissue lost, broken of the Yondr Pouch if needed, inform the parent and update the billing Perform all other related duties as assigned. SKILLS AND COMPETENCIES Strong organizational, administrative, time-management, analytical, and problem-solving skills, with excellent attention to detail and the ability to manage multiple priorities in a fast-paced school environment.
Excellent interpersonal and communication skills, both oral and written, with the ability to communicate effectively and appropriately with students, families, faculty, staff, and school leadership while maintaining confidentiality and discretion. Proactive, collaborative, and solutions-oriented team player who demonstrates sound judgment, initiative, flexibility, resilience, and the ability to adapt to changing priorities.
Proficiency with Microsoft Office, Google Workspace, student information systems, and other technology used to support school operations.
EDUCATION AND EXPERIENCE
Bachelor’s Degree required; experience in a K–12 educational environment preferred. Previous administrative, school office, student-facing, or related experience preferred, including experience supporting school leadership, faculty, students, and families and handling confidential information. PHYSICAL REQUIREMENTS Ability to work in an active school environment, including sitting and standing for extended periods and moving throughout the school to support students, faculty, staff, and visitors.
Ability to occasionally lift, carry, and move office materials, school supplies, files, packages, and other items weighing up to 15 lbs., with sufficient dexterity for regular use of computers, telephones, office equipment, and other administrative tools.
COMPENSATION
Compensation is between $42,609 to $64,503 commensurate with years of experience as outlined in the Collective Bargaining Agreement (salary is prorated for part-time or temporary positions), pending the completion of collective bargaining negotiations currently underway.
