About the Role

As a part of the Group Health and Medical Services team, this role is expected to provide efficient administrative and front office support to ensure the smooth functioning of the QR Medical Center reception and back office. Provide professional, timely responses to official e-mails and undertake administrative duties such as appointment scheduling, replenishment of office supplies, filing, photocopying and other routine functions as directed by the supervisor.

Handle all medical administrative queries and documents efficiently and confidentiality in line with medical ethics and values. Your duties would include: Confidential handling of medical data and queries. Professional management of administrative queries face-to-face and over the telephone. Prompt and efficient handling and distribution of medical certificates, emails / documents for forwarding to QR Doctors for review and validation as appropriate.

Appropriate management and distribution of documents received from QR departments and subsidiaries. Filing and scanning all medical related correspondences and reports to E-docs. Updating of the contact directory and medical services diary. Arranging all the display material in a professional manner. Process, update, and maintain staff records and medical reports' database.

Perform all related duties assigned by Medical Supervisor, for the purpose of ensuring efficient and effective functioning of the QRMC Reception team. Register Amiri staff in QRHMS and assist in obtaining invoice for the service. To assist Medical Supervisor and higher management during investigation of any medical facilities/ medical certificates/ or any other queries.

Assist in responding to any emergency or major medical operational issues, including support of the Qatar Airways Special Assistance Program. Assist in cases of emergency situations and arranging of ambulance service. Update the advanced changes occurring in workspace, especially QRHMS systems. Perform all supportive administrative duties to support the licensing requirements of all QR, QE and Amiri cabin crew.

Attend to all Group Medical visitors, patients and staff alike in a polite and professional manner. Maintain the Health Information System appointment schedule. Undertake the administrative duties required for the smooth processing of medical certificate validations and MEDIFs. Effectively coordinate with different departments to ensure the smooth workflow processes, e.

g. Space control, traffic, immigration, HR. etc. Ensure the reception area is clean and tidy. Provide peer Support for colleagues. Be part of an extraordinary story Your skills. Your imagination. We are looking for a passionate and experienced professional to join our Group Health and Medical Services team . The ideal candidate should possess the following: Bachelor’s Degree or Equivalent with Minimum 1 year of job-related experience Computer literate with a thorough knowledge of Microsoft Word, Excel, PowerPoint, Access, Internet.

Knowledge of Oracle systems/Hospital management systems preferred. Previous experience as Receptionist in a multinational/airline/hospitality organization would be an advantage Should be able to handle confidential information with discretion. Ability to interpret a variety of instructions furnished by QR Doctors in written, oral, or schedule forms.

Well-developed interpersonal skills. Telephone, E-mail, Facsimile Operations. Fluent in English language, both oral and written. Arabic language will be an advantage. Good organizational skills. Knowledge of hospital management systems preferred. Should be able to work under pressure. Should be efficient to maintain professional ethics.

Prompt service/answers should be given to enquiries. Need to be ready to adapt to new technology and actively perform allocated roles and responsibilities. Arabic language will be an advantage.
