Accounts Payable Specialist
Job description
KBP, a leader in the quick-service restaurant (QSR) industry, is seeking a motivated, detail-oriented Accounts Payable Specialist to join our team. In this role, you will support daily accounts payable operations in an automated invoice processing environment, with a focus on accuracy, problem-solving, and continuous improvement.
You will analyze and validate AI/OCR-captured invoice data, resolve processing exceptions and discrepancies, reconcile vendor accounts, maintain supplier information, and support payment processing and refunds. This position offers an opportunity to collaborate with experienced professionals, leverage technology, and contribute to the ongoing success of our organization.
What You’ll Do: Review and analyze AI/OCR-captured invoice data to ensure accuracy, completeness, proper general ledger (GL) coding, and compliance with company policies. Identify exceptions, trends, and recurring errors in automated invoice processing, partnering with the team to investigate and resolve root causes. Ensure accounts payable transactions have appropriate supporting documentation based on transaction type and company policies.
Perform complex reconciliations of high-volume vendor accounts, investigating and resolving purchase order, invoice, and payment discrepancies. Conduct outstanding check reviews, follow up on stale-dated items, and support escheatment and unclaimed property compliance. Maintain accurate supplier records, including new vendor setup, W-9 collection, remittance addresses, banking information, and payment terms, while following established internal controls.
Process vendor refunds and credits, ensuring transactions are accurately recorded and applied. Monitor and manage the shared Accounts Payable mailbox, prioritizing and responding to vendor, restaurant, and internal inquiries in a timely and professional manner. Serve as a point of contact for restaurant operators, internal departments, and external suppliers, providing responsive support and resolving payment-related issues.
Collaborate with Accounts Payable team members to balance workloads, share knowledge, and meet month-end and payment-cycle deadlines. Recommend improvements to accounting processes, systems, and automation tools to enhance efficiency and accuracy. Perform additional projects and duties as assigned by the Accounts Payable Lead or Accounting Manager.
What We’re Looking for: Degree in Business, Accounting or Finance or an equivalent combination of education and Accounts Payable experience. 2+ years of accounts payable or general accounting experience; multi-entity or multi-brand experience preferred. Strong analytical and problem-solving skills, with a sharp eye for detail.
Experience with automated AP or OCR invoice processing tools and an ERP system (Workday experience a plus). Intermediate to advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables). Excellent written and verbal communication skills, with a customer-service mindset. Self-motivated, organized, and comfortable managing competing priorities in a high-volume environment.
Collaborative team player who wants to learn and take on new challenges. What KBP Brings to the table: KBP is a leading restaurant franchise group with a clear vision: to be a great place to work, a great place to eat, and a great place to own. We’re focused on sustainable growth that creates opportunities for our business and our people.
