Key Responsibilities

Groups & Events Coordination Manage group and event enquiries, bookings, confirmations, amendments, and cancellations. Coordinate all aspects of group bookings and events, including accommodation, meeting rooms, catering, equipment, activities, and special requests. Prepare and distribute event orders, function sheets, itineraries, and relevant operational information.

Ensure all event details are accurate, complete, and communicated to the relevant departments. Monitor group bookings and event timelines to ensure all arrangements are completed within agreed deadlines. Conduct site inspections and client meetings where required. Assist with the planning and coordination of conferences, weddings, corporate functions, celebrations, workshops, and other special events.

Client & Guest Relations Serve as a key point of contact for clients throughout the planning and execution of their events. Build and maintain strong professional relationships with clients, event organisers, corporate partners, and other stakeholders. Understand client requirements and provide practical solutions to meet their expectations.

Handle client queries, requests, and complaints professionally and promptly. Conduct post-event follow-ups to obtain feedback and identify opportunities for improvement. Team Supervision Supervise and support staff involved in groups and events operations. Allocate tasks and responsibilities to team members according to operational requirements.

Monitor staff performance and ensure service standards are consistently maintained. Assist with staff training, coaching, and development. Promote effective communication and teamwork between the Groups and Events team and other departments. Financial & Administrative Responsibilities Ensure group and event quotations, contracts, invoices, deposits, and payments are accurately processed.

Monitor event budgets, billing, and additional charges. Assist with achieving departmental revenue and profitability targets. Maintain accurate records of enquiries, bookings, client correspondence, and event documentation. Follow company policies and procedures relating to credit, deposits, cancellations, and payment terms.

Identify opportunities to upsell additional services and generate additional revenue. Operational Coordination Liaise closely with Front Office, Food & Beverage, Housekeeping, Finance, Sales, Kitchen, Technical Services, and other relevant departments. Attend operational briefings and communicate important event information to the appropriate teams.

Monitor events on the day to ensure they run smoothly and according to the agreed programme. Resolve operational issues quickly and professionally. Ensure health, safety, security, and company standards are followed during events.

Requirements

Grade 12 or equivalent qualification. Diploma or degree in Hospitality Management, Events Management, Tourism, Business Management, or a related field is advantageous. Previous experience in groups, conferences, events, hospitality, or a similar operational environment. Previous supervisory or team-leadership experience is preferred.

Strong organisational and administrative skills. Excellent verbal and written communication skills. Strong customer-service and relationship-management skills. Ability to work under pressure and manage multiple events and deadlines simultaneously. Good financial and commercial awareness. Proficiency in Microsoft Office and relevant hotel/event management systems.
