SHESQ Administrator
Job description
As a SHEQ Administrator, you’ll play an important role in supporting our Safety, Health, Environment and Quality (SHEQ) team, helping to keep our systems, records and processes running smoothly and efficiently. You’ll be responsible for helping maintain accurate, up-to-date records, supporting compliance with relevant legislation and company standards, and ensuring our SHEQ management systems remain organised and effective.
Working closely with the wider team, you’ll help promote a positive culture of safety, quality and continuous improvement across all areas of our operations. If you’re organised, proactive and enjoy being part of a team where your work makes a real difference, this is a great opportunity to contribute to a safer, more efficient and quality-focused working environment.
Documentation Management: Maintain, update and manage SHEQ-related documentation, including policies, procedures, risk assessments, and records of incidents, inspections and audits, ensuring the correct versions are issued, maintained and archived appropriately. Keep SHEQ filing systems, shared drives and registers well organised, accessible and up to date, ensuring they meet relevant regulatory requirements and company standards.
Compliance Administration: Provide day-to-day administrative support to the SHEQ team in maintaining the organisation’s SHEQ management systems, including keeping certification, accreditation and statutory inspection registers accurate and up to date. Coordinate and schedule audits and inspections, monitor actions arising from them, and follow up with the relevant managers to ensure outstanding items are addressed and closed out promptly.
Incident Reporting and Records: Record incidents, accidents, near misses and hazard reports on the relevant reporting system, ensuring information is complete and accurate, and that corrective and preventive actions are monitored through to completion. Compile incident and performance data for monthly SHEQ reports and KPI dashboards, ensuring reports are accurate, up to date and shared with the relevant stakeholders.
Training Administration: Maintain the training matrix and competency records for employees and contractors, arrange training courses, and proactively highlight upcoming expiry dates for cards and qualifications. Prepare and distribute SHEQ communications, including safety alerts, toolbox talks and bulletins, helping to keep employees informed and encourage a positive safety culture throughout the business.
Risk Assessment Support: Format, issue and file risk assessments and method statements, maintaining an accurate register of review dates to ensure documents are reviewed and updated within the required timescales. Monitor briefing sign-off sheets and document acknowledgements, identifying any missing information or outstanding requirements and escalating gaps or non-compliance issues to the SHEQ team where necessary.
Continuous Improvement: Work collaboratively with internal departments and teams to identify opportunities to improve SHEQ administrative processes, reduce duplication and make more effective use of existing systems. Coordinate SHEQ meetings, committees and working groups, prepare and record meeting minutes, and monitor agreed actions to ensure they are followed up and completed.
