Job description
JOB TITLE: TRANSPORTATION COORDINATOR – TRUCKS REPORTS TO: VP Logistics STATUS: Exempt JOB OBJECTIVE The Transportation Coordinator – Trucks facilitates and coordinates the movement of product from National Sugar Marketing Cooperative, Inc. (NSM) shipping locations to customers throughout the delivery network, with primary responsibility for truck transportation.
This position manages the day-to-day coordination of truck shipments with motor carriers, shipping locations, Customer Service, Supply Chain Planning, Operations, and other internal and external partners to support timely, accurate, and cost-effective product delivery. The Transportation Coordinator – Trucks is responsible for ensuring that truck shipments are properly bid, rated, awarded, booked, documented, and monitored.
The position is expected to maintain accurate transportation rates and carrier information within applicable systems and to proactively identify and resolve transportation issues that may affect service, cost, or operational performance. PRIMARY RESPONSIBILITIES AND INFLUENCE Facilitate and monitor the daily movement of product by truck, coordinating shipments among motor carriers, shipping locations, Customer Service, Supply Chain Planning, Operations, and other appropriate parties to support on-time delivery including acting as an after-hours emergency contact to resolve high priority transportation issues.
Solicit, review, document, and maintain competitive truck freight rates in accordance with established NSM procedures and transportation requirements. Ensure that applicable and approved freight rates are accurately entered, maintained, and effective within the appropriate system before loads are awarded or booked, unless specifically authorized otherwise by management.
Review truck bids and carrier responses and appropriately award loads based on approved rates, service requirements, carrier capabilities, availability, and other applicable business considerations. Verify that awarded and booked truck loads contain accurate carrier, rate, origin, destination, and other required transportation information.
Monitor transportation costs and identify discrepancies, missing rates, unexpected charges, or other conditions that may result in unnecessary or increased freight expense. Escalate and resolve discrepancies in a timely manner. Maintain accurate and complete transportation records, including carrier bids, awarded rates, load information, supporting documentation, and other required records.
Maintain an in-depth knowledge of available transportation resources, carrier capabilities, network operating parameters, market conditions, and customer-specific delivery requirements. Develop and maintain productive, professional relationships with motor carriers and third-party transportation providers to support capacity, service, reliability, and competitive transportation costs.
Assist in the development and execution of logistics strategies, KPI’s, transportation budgets, carrier partnerships, and cost-reduction initiatives. Organize workload and prioritize daily responsibilities with strong attention to detail, proactively identifying issues and developing solutions to achieve customer service and transportation cost objectives.
Track active shipments and proactively address delays, capacity issues, missed appointments, rate discrepancies, service failures, and other transportation exceptions. Communicate clearly, accurately, and professionally with carriers, shipping locations, customers, and internal departments to support accurate and efficient delivery.
Provide oversight for the accuracy and processing of freight invoices and identify and resolve freight billing discrepancies. Initiate, document, monitor, and resolve carrier claims in a timely manner. Maintain appropriate transportation documentation and system records to support freight auditing, reporting, analysis, and operational decision-making.
Provide transportation data and information to management as requested, including information regarding freight rates, carrier performance, transportation costs, capacity, service issues, and exceptions. Serve as a transportation and logistics resource for cross-functional projects, process-improvement initiatives, and other activities as assigned.
Provide departmental backup and support during periods of peak shipment activity, employee absences, special projects, or other business needs. Perform other related duties and responsibilities as assigned. Escalate transportation problems, rate discrepancies, service failures, and other significant exceptions to appropriate management personnel in a timely manner. Convey transportation and operational information in understandable terms across all levels of the organization. Technical Capability Excellent organizational and time-management skills with the ability to prioritize multiple shipments, deadlines, and competing responsibilities in a constantly changing transportation environment.
Strong attention to detail and ability to maintain accurate freight rates, carrier records, shipment information, and supporting documentation. Ability to review and analyze freight rates, transportation costs, carrier bids, invoices, and related transportation data. Ability to identify discrepancies and recognize potential financial or operational impacts before finalizing transportation transactions.
Proficiency with applicable transportation and business systems, including AS400, JDE, Microsoft Excel, Microsoft Word, and other transportation management or enterprise systems utilized by NSM. Ability to learn and effectively utilize new transportation management systems, software, reporting tools, and technologies as implemented.
Ability to understand and follow written and verbal procedures, safety requirements, internal controls, and Company policies. MINIMUM EDUCATION AND EXPERIENCE Associate degree with an emphasis in Supply Chain, Logistics, Transportation, Operations, Business, or a related discipline, or an equivalent combination of education, training, and relevant work experience.
Four (4) years of progressively responsible work experience in transportation, logistics, supply chain, or a related operational environment. Demonstrated experience coordinating truck transportation, working with motor carriers, obtaining and maintaining freight rates, scheduling or booking loads, and resolving transportation-related issues.
Working knowledge of transportation operations, supply chain processes, freight pricing, carrier management, and customer delivery requirements. Experience with transportation management systems, ERP systems, truck transportation processes, and third-party transportation providers. Experience within food-grade manufacturing, distribution, agricultural commodities, or a related environment is preferred.
Demonstrated ability to establish and maintain productive relationships with third-party transportation providers while supporting service, cost, and operational objectives.
