Job description
American Indian Community Development Corporation is seeking an organized and dependable Office Coordinator to support the day-to-day administration. This position helps ensure the corporate office runs smoothly while providing front desk coverage and creating a welcoming environment for employees, visitors, and community members.
The Office Coordinator performs a variety of administrative duties in support of the corporate office and provides information about programs and services to individuals seeking assistance or information as able.
Responsibilities
Serve as a first point of contact for employees, visitors, community members, and partners. Perform reception duties, including answering, screening and directing calls, greeting and assisting visitors, and responding to general inquiries. Provide general administrative support for corporate office operations. Maintain professional and timely communication via phone, email, in person, and mail.
Monitor and request inventory orders for office and break room supplies. Maintain accurate contact lists, databases, and organizational records. Support intern coordination, special events, fundraising activities, and community programs as needed. Managing incoming and outgoing correspondence, including emails, faxes, mail and packages daily Filing and organizing records, invoices and other important documentation Assists with proposal development as required or requested, monitors reporting requirements and deadlines Identify opportunities to improve office systems, organization, and administrative processes.
Perform other administrative duties as assigned in support of the organization’s mission. Manage and monitor employee Microsoft Outlook access Assist with setting up email access for employee status changes Coordinate meeting rooms, schedule appointments, organize events Maintain confidentiality of employee, organizational, and community information.
Required Qualifications High school diploma, GED or equivalent required. Microsoft Office Proficient (Excel, Word, Outlook). Excellent organizational and time management skills. Great customer service and interpersonal skills. Ability to build strong relationships with diverse staff and community. Ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
Physical Requirements Ability to remain in a stationary position for extended periods while performing computer and administrative work. Ability to frequently operate a computer, telephone, and other standard office equipment. Ability to occasionally bend, reach, stoop, or crouch when accessing office materials and supplies.
Ability to occasionally lift, carry, push, or move office supplies, packages, and materials weighing up to 25 pounds. Ability to occasionally assist with the setup and breakdown of meetings, events, or organizational activities.
