Administrative Assistant Reconstruction Department

Administrative Assistant Job Summary United Water Restoration Group of South Florida is looking for an Office Administrator to join our Reconstruction Department at our corporate office in Deerfield Beach. In this role, you will perform clerical and administrative tasks to contribute to the success of the company. Job Duties: Team Player attitude a MUST!

• Be the first point of contact for new reconstruction leads — open the job, send the intro email, and schedule the customer’s first appointment
• Coordinate the Project Managers’ calendars and keep scheduling running smoothly (no double-booking)
• Keep every job file clean, accurate, and complete in PSA, including photos and documents
• Track leads, permits, and subcontractor payments across our Google Sheets
• Help obtain signed authorizations (Terms of Service, Work Authorization, and other documents)
• Follow up with customers, Project Managers, estimators, and insurance carriers on estimates and approvals
• Coordinate subcontractor packages and documentation, and keep records updated in Google Drive
• Audit files at project close-out and make courtesy calls to request customer reviews What we’re looking for
• Strong organization and attention to detail
• Excellent phone and email communication skills
• Comfortable juggling multiple projects and deadlines
• Experience with PSA, Xactimate, or restoration/construction admin is a plus
• Bilingual (English/Spanish) a plus
