Job Title: Billing Specialist Reports to: Senior Director, Contracts and Grants Location: Miami, FL Salary range: $50,000 - $55,000 Position Overview: The Billing Specialist is responsible for submitting all required documentation to government funding sources to ensure timely and accurate reimbursement. This position is also responsible for assisting with month-end financial activities and providing administrative support to the Senior Director of Contracts and Grants.

Job Requirements Associate or bachelor’s degree or minimum of 3 years prior accounts payable/general accounting experience Nonprofit accounting and government grants experience preferred Ability to effectively prioritize work Attention to detail, organized and high level of accuracy Proficient in Microsoft Excel Ability to adhere to deadlines Job Duties include, but are not limited to: Maintain a comprehensive tracking system of billing deadlines and reporting requirements for government and private grants.

Prepare and process invoices, reimbursement requests, and supporting documentation for government and private grants, as well as the submission of all required financial reports. Monitor reimbursement activity, follow up on outstanding payments, and maintain accurate accounts receivable records. Assist with the monitoring of grant billing budgets and expenditure tracking.

Review billing documentation for completeness, accuracy, and compliance with contract and grant requirements. Organize and maintain an accurate filing system for active government contracts, invoices, and supporting documentation. Assist with month-end closing activities related to grants, including posting accruals and updating grant sheets.

Coordinate the collection and review of monthly personnel activity reports and other supporting documentation required for grant billing or reporting. Complete account reconciliations, research discrepancies, and communicate with team for assistance with timely resolution of outstanding items. Assist with the preparation and submission of required financial and program-related reports associated with assigned grants and contracts.

Maintain complete and accurate billing records and supporting documentation for audit and compliance purposes. Communicate with internal departments and external funding agencies regarding billing, requests, documentation, and payment status as needed.
