Banquet Supervisor

Banquet Supervisor Willoughby Golf Club is seeking an experienced and highly organized Banquet Supervisor to join our Food & Beverage team. The Banquet Supervisor is responsible for coordinating and overseeing the setup and execution of private events, member functions, meetings, and special occasions while ensuring a high level of service and attention to detail.

This is a full-time position working variable hours. This position works closely with the Catering & Special Events Manager, Executive Chef, Dining Room Managers, and banquet staff to ensure each event runs smoothly from setup through breakdown.

Responsibilities

Coordinate the setup, service, and breakdown of banquet rooms and event spaces. Review Banquet Event Orders (BEOs), room diagrams, timelines, and special event requirements. Work closely with the Catering Manager and Chef to coordinate food service, buffets, and event timing. Coordinate with Dining Room Managers and food runners to ensure timely and organized food service.

Supervise and provide direction to banquet setup and food runner staff. Ensure tables, chairs, linens, china, glassware, silverware, buffet equipment, and other event items are properly set and ready for service. Maintain accurate inventory of banquet equipment and supplies. Inspect event spaces and front-of-house areas to ensure cleanliness, appearance, safety, and overall readiness.

Communicate with Housekeeping and other departments regarding event needs. Assist with member and guest concerns and ensure issues are handled professionally and promptly. Assist with coordinating outside rentals, décor, entertainment, and other event services. Participate in pre-shift meetings, BEO meetings, staff meetings, and post-event debriefs.

Work with the Catering Manager to identify opportunities to improve future events and enhance the member and guest experience. Assist with catering-related administrative and financial information, including P&L documentation. Monitor guest areas for room temperature, lighting, sound, cleanliness, and overall presentation.

Ensure all shift documentation is accurate and complete. Assist with Manager-on-Duty and closing responsibilities when assigned. Maintain a professional appearance and demeanor consistent with the standards of Willoughby Golf Club. Follow all Club policies, safety procedures, and applicable regulations. Assist other departments and perform additional duties as assigned.

Qualifications

High school diploma or GED required. Two or more years of banquet, catering, food & beverage, hospitality, private club, hotel, or resort experience preferred. Previous supervisory experience preferred. Excellent communication and organizational skills. Strong attention to detail and the ability to anticipate event needs.

Ability to multitask, prioritize, and remain calm in a fast-paced environment. Ability to work effectively with members, guests, employees, management, and vendors. Strong problem-solving skills and the ability to make sound decisions under pressure. Ability to understand and follow BEOs, room diagrams, and detailed event instructions.

Comfortable working a flexible schedule, including evenings, weekends, holidays, early mornings, and late nights based on the Club's event schedule. Food Safety and Responsible Vendor/Alcohol certifications required or must be obtained as required. Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and computerized POS systems.

Experience with Jonas is a plus. Physical Requirements Ability to stand and walk for extended periods during events. Ability to walk up and down stairs throughout the workday. Ability to lift and move items weighing up to 30 pounds. Ability to move tables, chairs, and banquet equipment as needed. Ability to work both indoors and outdoors.
