About the Role
The Optometry Front Support role is pivotal in ensuring a seamless and welcoming experience for patients visiting an optometry practice. This position serves as the first point of contact, managing patient intake, appointment scheduling, and providing essential administrative support to clinical staff. The role requires balancing efficient office operations with compassionate patient care, facilitating communication between patients and optometrists.
By maintaining accurate records and managing insurance and billing inquiries, the Front Support professional contributes to the overall effectiveness and reputation of the practice. Minimum Qualifications
High school diploma or equivalent. Previous experience in a medical office or customer service role, preferably in an optometry or healthcare setting. Basic proficiency with electronic health record (EHR) systems and appointment scheduling software. Strong communication and interpersonal skills to interact effectively with patients and healthcare professionals.
Ability to handle confidential information with discretion and maintain patient privacy.
Preferred Qualifications
Certification as a Certified Ophthalmic Assistant (COA) or equivalent. Experience with insurance billing and coding specific to optometry services. Familiarity with optical terminology and common eye care procedures. Proficiency in additional languages to support diverse patient populations. Advanced computer skills including Microsoft Office Suite and practice management software.
MA certification and prior optometry experience are a plus, but not required.
Responsibilities
Greet and check in patients promptly and courteously, ensuring all necessary information is collected accurately. Schedule and confirm patient appointments using electronic health record (EHR) systems, optimizing the daily patient flow. Manage patient records, including updating personal information, insurance details, and medical history in compliance with privacy regulations.
Handle billing processes, verify insurance coverage, and assist patients with payment inquiries and processing. Coordinate communication between patients and optometrists, including relaying messages and preparing patients for their examinations. Maintain a clean and organized front office environment, ensuring all administrative supplies are stocked and equipment is functioning.
Assist with administrative tasks such as filing, faxing, and managing correspondence to support clinical staff. Skills: In this role, strong communication skills are essential for greeting patients warmly and clearly conveying information between patients and clinical staff. Organizational skills are used daily to manage appointment schedules, maintain accurate patient records, and ensure smooth office operations.
Technical proficiency with EHR systems and billing software enables efficient handling of patient data and insurance claims. Problem-solving skills help address patient concerns and resolve scheduling conflicts promptly. Additionally, empathy and customer service skills foster a supportive environment that enhances patient satisfaction and trust in the optometry practice.
