  • MARSS Coordinator Reports To: Superintendent Position Type: Full-time, Primarily remote with occasional in-person requirements Duty Year: 12 Month FLSA Status: Non-Exempt Compensation Hourly rate: $23-28 per hour, based on qualifications and experience. Purpose The MARSS Coordinator manages the collection, verification, maintenance, and state reporting of student demographic and enrollment data in accordance with Minnesota Department of Education (MDE) requirements. This position is responsible for ensuring the accuracy and integrity of data within the District's Student Information System (SIS), submitting error-free Minnesota Automated Reporting Student System (MARSS) and Ed-Fi reports, and supporting related state and federal data collections that directly impact district state aid and levy calculations.

Essential Functions

MARSS Reporting & State Data Governance Maintain thorough knowledge of state laws, rules, procedures, and MDE guidelines governing student enrollment and reporting. Execute district-wide MARSS edits following MDE timelines and deadlines; verify data accuracy, investigate misinformation, and collaborate with program staff (Special Education, EL, Early Childhood, Transportation, etc.)

to clear error files. Submit verified, error-free MARSS data to Region V / MDE in a timely manner and save all state and local PDF reports for permanent district archiving. Manage Ed-Fi system configurations and ensure data accuracy across MARSS WES, SIS, and Ed-Fi reporting platforms. Coordinate with other Minnesota school districts to ensure current, accurate student records and eliminate duplicate reporting.

Student Information System (SIS) & Record Management Support the district's Student Information System (currently Power. School) to ensure complete data integrity. Generate and distribute specialized MARSS data reports to internal district departments as needed for transportation, compensatory revenue, and billing. Additional Annual State & Federal Data Reporting Manage and process the Free and Reduced Application Management (FRAM) program, Educational Benefits forms, monthly Direct Certifications, and annual verification.

Collect, process, and submit federal Civil Rights Data Collection (CRDC) requirements within required timelines. Complete annual state and federal data reporting requirements, including Carl Perkins (P-file), Minnesota Common Course Catalog (MCCC), Pathway Scholarships, Student Support Data Collection (SSDC), etc. General Responsibilities Maintain positive working relationships with students, staff, families, and external district/state personnel.

Attend required MDE, MARSS, SIS, and Region V training webinars and workshops to stay current on reporting standards. Maintain strict confidentiality regarding sensitive student records and educational privacy laws (FERPA/MGDPA). Support district office operational needs and perform other duties as assigned by the Superintendent or designee.

Qualifications

Required High school diploma or equivalent. Strong organizational, communication, and analytical problem-solving skills. High proficiency with software applications, spreadsheets, databases, and reporting systems. Exceptional attention to detail and accuracy with a demonstrated ability to manage strict state and federal deadlines.

Ability to maintain confidentiality and handle sensitive student records appropriately. Preferred Minimum 2 years of experience working with student information systems, school database administration, or state compliance reporting. Associate or Bachelor's degree in Business Administration, Information Systems, Education, or a related field.

Direct experience as a MARSS Coordinator or data specialist in a Minnesota public school district. Hands-on proficiency with Power. School SIS, Ed-Fi integration, and MDE WES/CLiCS portals. Knowledge, Skills, and Abilities Knowledge of MDE state reporting guidelines, MARSS regulations, and school finance data structures.

Ability to organize, prioritize, and manage multiple reporting cycles concurrently. Ability to communicate technical reporting requirements clearly to district administrative and program staff. Ability to work independently with minimal supervision and exercise sound judgment in resolving data discrepancies. Working Conditions Work is primarily performed in a standard office environment within a school district setting.
