Position Summary

Grand Appliance is seeking an organized, resourceful Executive Coordinator to support leaders and teams through effective coordination of projects, meetings, presentations, events, and administrative work. This role is well suited for someone who enjoys bringing structure to moving pieces, creating polished business materials, solving problems, and taking ownership of work from initial direction through completion.

Working closely with the Senior Executive Coordinator and leaders across the business, the Executive Coordinator will manage a variety of assignments requiring strong organization, follow-through, communication, and judgment. This position is based primarily out of our corporate office located in Sturtevant, Wisconsin.

Responsibilities

Create polished, visually engaging PowerPoint presentations and professional business materials using outlines, data, and input from multiple contributors. Organize meeting and event logistics, including venues, vendors, catering, attendee communications, materials, and other details. Prepare and maintain reports, correspondence, meeting materials, trackers, and other business documents.

Track project milestones and action items, follow up with responsible parties, and help keep work moving forward. Identify potential obstacles, resolve routine issues independently, and bring forward matters requiring additional direction. Support company and group travel arrangements, including assigned bookings, itineraries, and attendee coordination.

Maintain organized shared resources, records, and administrative processes while identifying opportunities to improve efficiency and consistency. Handle confidential business and personal information with discretion and sound judgment.

Qualifications

Experience in administrative support, executive support, project coordination, event coordination, or a related role with demonstrated ownership and follow-through. Intermediate to advanced PowerPoint skills and a strong eye for visual presentation , including layout, typography, hierarchy, charts, and graphics. Ability to create polished, professional presentations beyond basic slide formatting.

Excellent organization and time-management skills with the ability to manage multiple priorities and shifting deadlines. Initiative and resourcefulness; someone who is comfortable moving work forward, solving problems, and determining when additional guidance is needed. Strong attention to detail and ownership of work quality, including proofreading and checking accuracy before materials are delivered.

Strong written and verbal communication skills . Good interpersonal judgment and the ability to work effectively with different personalities, communication styles, and levels of seniority. Professional composure and adaptability when priorities or circumstances change. Ability to work independently while collaborating effectively with others.

Proficiency with Microsoft Office, particularly Outlook, PowerPoint, Excel, and Word. Ability and willingness to learn new systems and tools. Familiarity with Teams, SharePoint, Power BI, Net. Suite, or point-of-sale systems is helpful. Adobe Creative Cloud or other graphic design experience is a plus. Success in the Role The strongest Executive Coordinator will become someone leaders and teammates can rely on to take ownership of assigned work and carry it through to completion.

Meetings and events are well organized. Materials are polished and accurate. Project details and action items remain current. Problems are identified early, rather than discovered at the last minute. Routine questions are handled independently, while issues requiring additional context or authority are raised appropriately.

The expected hourly compensation for this position is between $19.00 - $25.00 per hour, and includes access to benefits including health insurance, retirement savings options, and more.
