Position Summary
The Human Resources Coordinator provides administrative and operational support for the Human Resources Department while serving as the organization's designated DDS Medication Coordinator. This position supports recruitment, onboarding, employee records administration, HRIS management, employee compliance tracking, leave administration support, training coordination, and regulatory compliance activities.
The role works closely with HR leadership and employees throughout the organization to ensure accurate documentation, responsive employee support, and compliance with organizational policies and applicable federal and state laws. Core Competencies: Human Resources Administration Regulatory Compliance Customer Service Communication & Collaboration Organization & Time Management Attention to Detail Problem Solving Confidentiality & Professionalism Ethics & Integrity Essential Duties and Responsibilities: Human Resources Functions Assist with recruitment activities, including posting vacancies, reviewing applications, scheduling interviews, conducting reference checks, and coordinating pre-employment requirements.
Coordinate employee onboarding, orientation, and new hire documentation. Maintain accurate and confidential personnel records. Process employment status changes, including hires, promotions, transfers, leaves of absence, and separations. Maintain employee information within the Human Resources Information System (HRIS).
Track employee certifications, licenses, training requirements, and compliance deadlines. Assist employees and leaders with HR-related questions regarding policies, payroll, benefits, and employment procedures. Support leave administration processes, including FMLA, Connecticut Paid Leave, ADA accommodations, workers' compensation, and other employee leave programs.
Provide administrative support for employee relations matters, investigations, performance management activities, and corrective action processes. Prepare reports, correspondence, presentations, and HR-related documentation. Support employee engagement, recognition, retention, and HR initiatives. Participate in audits, compliance reviews, and process improvement projects.
DDS Medication Coordinator Functions Serve as the organization's DDS Medication Coordinator. Coordinate medication administration certification and recertification activities. Track certification status and maintain compliance records. Coordinate training schedules and documentation requirements. Conduct routine audits and quality assurance reviews.
Work collaboratively with nursing, residential, and program teams regarding medication compliance activities. Maintain required documentation and reports. Assist with corrective action plans and follow-up activities related to medication administration compliance. Requirements
Required High School Diploma or equivalent required. Minimum two (2) years of administrative, Human Resources, compliance, employee services, healthcare administration, or related experience. Experience maintaining confidential records and documentation. Proficiency with Microsoft Office Suite and business software applications.
Strong organizational, communication, and customer service skills. Ability to manage multiple priorities while maintaining accuracy and attention to detail. Preferred Associate's or Bachelor's degree in Human Resources, Business Administration, Psychology, Healthcare Administration, Organizational Leadership, or related field.
SHRM-CP, PHR, or other HR certification. Experience with HRIS systems, preferably Paylocity. Experience in nonprofit, healthcare, developmental disabilities, or human services organizations. Experience tracking certifications, credentialing, compliance activities, or training requirements. Exposure to employee relations, leave administration, workplace investigations, or compliance programs.
Important Note Previous DDS Medication Coordinator experience is helpful but not required. Candidates with strong administrative or Human Resources experience and a willingness to learn are encouraged to apply. Physical Requirements Ability to remain stationary and operate standard office equipment for extended periods.
Ability to occasionally lift and carry up to 20 pounds. Ability to travel between organizational locations for meetings, employee support, training, compliance activities, and operational needs. Ability to communicate effectively in person, virtually, and by telephone. Working Conditions Primarily works in a professional office environment with periodic travel between organizational locations.
Regular interaction with employees, leaders, healthcare professionals, regulatory agencies, vendors, and community partners. May occasionally work evenings or weekends to support orientation sessions, training activities, compliance requirements, or other organizational initiatives.
Compensation
and Benefits Compensation Compensation for this position is based on experience, qualifications, and applicable organizational compensation practices, where applicable. The salary range for this position will be provided in accordance with applicable federal and Connecticut pay transparency requirements.
