Valparaiso Community Schools Transportation Department Job Title: Transportation Operations Specialist Qualifications: High School Diploma or equivalent Minimum of 2 years' experience with Payroll/Finance preferred Administrative support and customer service experience Ability to deal effectively with the public using diplomacy and tact Excellent verbal and written communication skills Ability to perform multiple tasks at one time Proficiency in office procedures and computer skills (Excel, Google, etc.)
Ability to maintain confidentiality of transportation matters Must be flexible, adaptable, and able to work with a sense of urgency in an environment of frequent changes Ability to obtain a valid Commercial Driver's License w/Yellow Card to drive routes and field trips as needed Job Goal: Provide comprehensive administrative and financial support to the Transportation Department by maintaining accurate billing, invoicing, payroll, field trip, and transportation records.
Assist the Transportation Director & Asst. Director with daily department operations, including budget tracking, driver and field trip coordination, communication, recordkeeping, and compliance with transportation regulations. Deliver professional and responsive customer service to schools, drivers, staff, and the public while maintaining confidentiality, accuracy, flexibility, and efficiency in a fast-paced environment .
Responsibilities
Request, receive, process, and file invoices related to all transportation purchases and requests for purchases. Assist the Transportation Director in reviewing the transportation budget. Enter and track all payroll that relates to transportation department employees. Assign all requested field trips to drivers, track hours, and determine pay.
Invoice, bill, and track payment to schools for all assigned field trips. Enter all field trip-related items in the data system to track mileage and hours of field trips. Assist the dispatcher and communicate with drivers via radio. Provide student information to drivers from the student database. Assist in maintaining required records per DOT regulations.
Cross-train on the other duties of the department's office staff. Assist department personnel with routine transportation and clerical duties, including receiving and directing incoming calls, typing, filing, and assisting drivers with reports and forms. All other duties assigned by the Transportation Director or Assistant Transportation Director that will assist in the day-to-day operations of the transportation department.
Compensation
