About SAGE: SAGE is the world’s largest and oldest organization dedicated to improving the lives of LGBTQ+ older adults (lesbian, gay, bisexual, transgender, queer and questioning, and other self-identifying members of the community). Founded in 1978 and headquartered in New York City, SAGE is a national organization that offers supportive services and consumer resources for LGBTQ+ older adults and their caregivers, advocates for public policy changes that address the needs of LGBTQ+ older people and provides cultural competency training for aging providers and LGBTQ+ organizations.

Summary: The primary functions of the Program Assistant at the Edie Windsor SAGE Center are to: (1) provide direct administrative support to the Director of the Edie Windsor SAGE Center, and (2) support the work of the Program Coordinators in the creation, preparation, implementation, and evaluation of programming for LGBTQ+ older adults at the center.

The Program Assistant ideally has experience working with aging and/or LGBTQ+ communities and has some administrative and computer experience. They must be able to interact with, relate to, and work with diverse LGBTQ+ older adults, community partners and other colleagues across departments at SAGE. This role reports directly to the Director of the Edie Windsor SAGE Center.

Responsibilities

Provide administrative support to the Director, which includes data entry tasks using Salesforce and VIVE, as well as managing special projects Develop promotional material for center programming using Canva, including flyers, signage, and digital displays Provide additional event support for all programs (assist with set up of audio/visual equipment, set up and break down furniture, provide program supplies, receive and store food, set up food stations, handle kitchen equipment, and collect attendance sheets) Develop a rapport with participants through regular engagement Work closely with the programming team to finalize the monthly program calendar, ensuring all edits are reconciled and the final design is ready for submission to the Director Generate and maintain monthly metrics for center’s computer center Supports client and program data entry, documentation, and reporting activities to help maintain accurate records and meet program requirements Support SAGE’s participation in the Heritage of Pride Parade and/or other Pride Month events Work one weekend day for special events as needed and assist with Center Cooling Centers during heat advisory emergencies Provide peer-level coverage of similarly scoped responsibilities during colleagues’ leaves or absences to ensure continuity of operations Provide dinner service coverage for a minimum of two and a maximum of three days each month when there is a change in the Food Coordinator’s schedule to accommodate early morning deliveries Perform other tasks and duties as assigned Need-to-haves: Experience in aging field, LGBTQ+ service, or in program administration, organization and development is a plus.

Other relevant work experience may be considered as a substitute Exceptional interpersonal skills and ability to work with SAGE’s diverse constituency Strong communication, organizational, and time management skills Ability to work independently, with good judgment, as well as collaboratively as part of a team Detail-oriented with ability to follow through on tasks without supervision Computer proficient, specifically in Microsoft Suite, Canva, or other graphic design platforms Demonstrated ability to adapt to new software applications, including database systems such as Salesforce and VIVE Commitment to SAGE’s mission and alignment with SAGE’s values Must be willing to acquire NYC Food Handlers' license Nice-to-haves: Bilingual (English/Spanish) preferred Knowledge of NYC Department for the Aging deliverables, reporting and/or other similar standards Familiarity with history of/issues facing marginalized older adults and the LGBTQ+ community Role Details: Status: Full-Time, non-exempt Work location and schedule: ~35 hours per week, M-F 12:00pm-8:00pm, onsite at the Edie Windsor SAGE Center, 305 7th Avenue 15th Fl, New York, NY 10001.

Some mornings, weekends, and/or holidays may be required for special events Salary: $46,000 (in accordance with the Collective Bargaining Agreement, which places each union-covered role into a specific salary band with set compensation determined by years of service in that salary band at SAGE) Affiliation: This is a union-covered position, and the successful candidate will be required to join the SAGE Workers Union and is covered by the Union’s Collective Bargaining Agreement.
