Treatment Coordinator

ORVAC - Northwest Arkansas

Full-Time, In-Person · Monday–Thursday,7:00am–5:30pm · Base Salary + Performance Incentives

About Us

Ozark Regional Vein & Artery Center (ORVAC) - named 2025 Best of Northwest Arkansas: Vein Center - along with our affiliated clinics Renew Aesthetics (Best Weight Loss Clinic) and The Edge Men's Health (Best Men's Clinic), is a growing, award-winning group of practices built around personalized, root-cause healthcare. We're looking for a reliable, detail-oriented Treatment Coordinator to help our patients move confidently from a treatment recommendation to scheduled care.

The Role

As our Treatment Coordinator, you'll pick up where the consultation leaves off. Once a patient has come in for their appointment and a provider has recommended treatment, you're the person who takes it from there -

walking them through their insurance benefits where applicable, answering questions about cost and coverage, and getting their treatment appointment on the calendar. You'll be a calm, knowledgeable guide at a pivotal moment in a patient's care, helping them feel confident about moving forward.

What This Role Does

This is a back-end, patient-facing role focused on turning a treatment recommendation into a scheduled, committed patient. You'll work closely with our clinical teams and Client Concierge staff to make sure nothing falls through the cracks between consultation and care.

  • Explain insurance benefits to patients where applicable, breaking down coverage, out-of-pocket costs, and payment options in clear, understandable terms.
  • Present treatment plans and pricing with confidence, helping patients understand their options and next steps.
  • Schedule treatment appointments promptly after a recommendation is made, keeping patients moving forward in their care.
  • Follow up with patients who haven't yet scheduled, helping them take the next step and re-engaging those who've paused.

What You'll Do

  • Meet with patients following their consultation to review the provider's recommended treatment plan.
  • Verify and explain insurance benefits where applicable, providing clear breakdowns of coverage, deductibles, and out-of-pocket costs.
  • Present pricing, packages, and financing options clearly and confidently, answering questions and addressing concerns.
  • Schedule treatment appointments and coordinate logistics across providers and locations.
  • Maintain accurate records of treatment plans, conversations, and follow-ups in our CRM/EMR systems.
  • Conduct proactive follow-up with patients who have not yet scheduled their recommended treatment.
  • Re-engage patients who have delayed or paused care, helping them get back on track.
  • Collaborate closely with providers and Client Concierge staff to ensure a seamless handoff from consultation to treatment.

What We're Looking For

  • Strong interpersonal and relationship-building skills, especially when discussing cost and coverage.
  • Excellent written and verbal communication.
  • A warm, professional presence that puts patients at ease when talking about money or insurance.
  • High emotional intelligence and empathy.
  • Attention to detail and a process-oriented mindset - nothing falls through the cracks.
  • A confident, empathetic approach to helping patients say yes to care, without being pushy.
  • Comfort learning practice management, CRM, and insurance verification tools.
  • Experience with medical billing, insurance verification, patient financial counseling, or healthcare sales is a plus.
  • Interest in holistic or functional medicine principles is a plus.
  • Bi-lingual in Spanish is highly preferred.

Schedule & Compensation

  • Full-time, in-person role supporting multiple clinic locations in Northwest Arkansas
  • Monday–Thursday, 7:00am–5:30pm (some flexibility may be needed based on business needs)
  • Base Pay $18+ DOE, plus performance incentives tied to increased conversion rates
  • 401(k)
  • Health, dental, vision, and other great benefits
  • Paid time off

Why Join Us

  • Be part of an award-winning, growing group of clinics
  • Work in a collaborative, supportive environment with real access to leadership
  • Room to grow - we invest in our high performers
