- Packaging About the Job The Project Coordinator will join Scentbird and Drift’s Operations Department and report directly to the Associate Director of NPD. This role will support New Product Development (NPD) projects throughout the development cycle with a strong emphasis on beauty packaging execution, component tracking, and physical sampling . Supporting launch initiatives across our brand portfolio—with a heavy focus on Drift —you will help coordinate primary and secondary packaging samples, track component delivery milestones, and align cross-functional timelines for creative campaign shoots and marketing deliverables. This role will work closely with NPD, packaging engineering, creative, and marketing team members to keep launch tasks and milestones on track. The ideal candidate brings a passion for the beauty and fragrance space, exceptional attention to detail, and strong follow-up skills to maintain accurate component logs, track timelines, and ensure seamless go-to-market execution. Onsite: 5 days a week at our facility in Somerset, NJ What You’ll Be Responsible For: Track, request, and coordinate physical product and packaging samples (primary components, secondary cartons, fill samples, and lab submits) across the launch cycle, ensuring key stakeholders receive evaluation samples on schedule. Maintain a comprehensive packaging and sample inventory log; proactively flag missing, delayed, out-of-spec, or damaged packaging components that could put launch dates at risk. Serve as an operational bridge between packaging, NPD, creative, and marketing teams to ensure component sample availability aligns directly with creative campaign shoot schedules and product handoffs. Build and manage project timelines for creative campaign shoots (photo/video), coordinating shoot dates, deliverable due dates, and asset handoffs across beauty and air care lines. Track go-to-market deliverables tied to campaign launches against the master NPD timeline, identifying and resolving bottlenecks between packaging production, creative assets, and launch dates. Support the packaging and project teams by organizing cross-functional meetings, logging project progress, and delivering concise status updates across active beauty and fragrance pipelines. Maintain complete, accurate, and up-to-date project and packaging documentation (bills of materials/BOMs, sample tracking sheets, and milestone logs) accessible to all relevant stakeholders. Attend cross-functional NPD meetings to report on packaging component readiness, raise operational concerns, and drive practical solutions. Strong problem-solving skills with the ability to anticipate supply chain or sampling challenges and drive practical, timely solutions. Comfortable operating in a fast-paced, evolving beauty environment with shifting priorities. Clear and effective communicator who can keep cross-functional teams aligned and informed. What You’ll Need to Have: 1–3+ years of experience in packaging coordination, project management, product development, or supply chain within the beauty, cosmetics, fragrance, or CPG industries. Familiarity with physical packaging components (bottles, closures, pumps, secondary cartons, or fragrance diffusers) and vendor/supplier sample coordination workflows. Proven ability to track cross-functional packaging and launch projects in a deadline-driven environment. Exceptional organizational and project management skills with a meticulous eye for component details and sample tracking. Proficiency in Microsoft Excel / Google Sheets and project management tools (e.g., Smartsheet, JIRA, Asana, or similar). Excellent communication, stakeholder management, and problem-solving skills.
