Medical Office Assistant - Women's Clinic
Job description
Performs a variety of medical office duties ranging from receptionist, checking patients in for appointments, appointment scheduling, handling medical records, insurance billing and correspondence. Assist administrative department as needed with various assignments.
Essential Duties
& Responsibilities:
- Greets patients or customers in a friendly and professional manner, including welcoming the patient, making eye contact, and smiling.
- Checks-in patients for appointments.
- Completes the registration of the patient, explaining the paperwork to be completed to the patient if necessary.
- Ensures that a clear copy of the patient’s current insurance card(s) and demographic information is entered into the patient’s medical record. Prints the superbill and gives to the patient.
- Reviews patient accounts for accuracy and update demographic or insurance information as needed
- Answers and routes multi-line phone calls and respond to patient questions regarding appointments, registration, and basic administrative matters
- Receives and distributes all voice mail messages timely
- Distributes or performs tasks from the electronic fax inbox
- Enters electronic messages to other departments to assist with patient flow.
- Verify patient insurance eligibility and benefits
- Accept patient payments.
- Explain registration and financial procedures to patients in an understandable and respectful manner
- Obtain and document required patient information, referrals, authorizations, and identification
- Performs appropriate, timely, and accurate documentation in the medical record as is applicable to patient service duties.
- Maintains HIPAA privacy and security and provides the OGHS Physician Practice’s Notice of Privacy Practices to new patients or to any person who requests it.
- Handle difficult or sensitive patient situations professionally and escalate concerns when appropriate.
- Performs other related duties as assigned and serves in whatever other capacity deemed necessary for successful completion of the mission and goals of OGHS Physician Practice’s. Knowledge, Skills and Abilities
- Maintain neat and organized work area. Report safety issues to the Front Office Supervisor or Risk Management/Safety Officer immediately.
- Work efficiently and manage time wisely. Assist other employees when all duties are complete or as dictated by significant need.
- Communicate any problems, difficulties, or concerns regarding job duties to the Front Office Supervisor.
- Perform all duties consistently and without significant error.
- Meet all deadlines and timeframes for completion of assignments.
- Always Represent Opelousas General in a professional manner. Demonstrate outstanding ability to interact positively with physicians, staff, and “external” customers (e.g. patients, family members, vender representatives, etc.). Exhibit good communication skills with physicians, patients, supervisors, and co-workers always.
- Maintain a harmonious relationship with other OGHS employees to accomplish the duties and responsibilities of the position and to carry out the overall mission of the Hospital and Clinic. Notify the Clinic Manager of issues with other employees or patients that cannot be amicably resolved.
- Work and relate cooperatively with all other employees of OGHS to assure optimum care for the patients of OGHS and to achieve standards of care set forth by the OGHS medical staff.
- Adhere to the OGHS Compliance Plan as it pertains to the above specific job duties. Use best efforts to maintain compliance by following the OGHS Compliance Plan, attending OGHS compliance education, following medical documentation guidelines, and communicating concerns regarding compliance issues.
- Perform accurate and complete documentation in the patient’s medical record, when applicable
- Maintain patient confidentiality according to the HIPAA standards of privacy and security.
- Adhere to the OGHS Physician Practice’s Personnel Policies Manual and its contents.
- Perform other reasonable duties as assigned by the Administration, Provider, Clinic Manager, or CEO.
Education
High School Diploma required. Vocational/Technical degree in Medical Office Assistant or Related field preferred. Certification : Certified Medical Assistant (CMA) and CPR preferred Experience: EMR experience preferred .
