Position Summary

The Data Admin & Analyst is also known as the Regional Data Specialist, a position funded through Missouri Office of Refuge Administration (MO-ORA), a partner agency of IISTL. They are responsible for ensuring accurate database management, including reporting, tabulation, and quality control. This position manages database systems the organization uses to ensure staff have accurate and useable information that is held in systems that are efficient and reliable.

This position is responsible for upholding the International Institute’s mission, vision, goals, and objectives. Details of Responsibilities Essential Responsibilities: (5%) Assist in research and implementation of best practices for quality assurance and program evaluation. Running and reviewing quality assurance reports on a monthly basis.

(30%) Be the main point of contact/source of knowledge for two client management software systems. Provide training and troubleshooting to program staff on these platforms. (20%) Collect, organize, and deliver data relevant to ORR program participation to MO-ORA. The major deliverables will be due each April and November.

(20%) Create monthly, quarterly and other periodic programmatic reports to enhance monitoring of programs, including ad hoc reports as needed. (10%) Track grant submissions, deadlines, and funder reporting requirements. Lead and synthesize results from various departments in satisfying those reports. (5%) Review issues needing attention with the appropriate program managers, and follow-up to ensure issues are addressed and resolved within a timely manner.

(5%) Work closely with management staff to build evaluation tools for programs and communicate internal and external results. (5%) Maintain statistics on department performance and task load. Additional Responsibilities: Perform other tasks as required. This work may include, but is not limited to: Interacting with community members relative to current projects and initiatives.

Participating in IISTL and MO-ORA, departmental, and organizational meetings and events. Performing other assigned duties as necessary for the successful operation of the organization.

Qualifications

Bachelors’ degree in a related field, including data analytics or information technology. Minimum of five (5) years of progressive related experience. Knowledge, Skills, & Ability Requirements: Experience coding in SQL preferred. Experience as Database Administrator is highly desired. Experience in database systems, especially Bonterra Penelope, ClientTrack, and/or Salesforce highly desired.

Proficient with Microsoft Excel including V lookups, pivot tables, aggregating data from multiple sources, and quantitative analysis. Proficiency with the Microsoft Office suite (including Microsoft SharePoint). Experience in layout/form development, particularly within a client management software system is highly desired.

Excellent communication and interpersonal skills. Ability to exhibit a professional, courteous demeanor. Ability to meet deadlines and work in a fast-paced environment. Excellent planning and organizing skills; ability to anticipate adverse outcomes. Excellent problem-solving and analytical skills and acute attention to detail.

Ability to treat confidential information with sensitivity. Ability to be administratively independent and self-supportive. Ability to effectively plan work activities, schedules, priorities, and utilization of resources. Ability to work both independently and as part of a team. Commitment to excellence and high standards.

Ability to communicate and interact effectively with a diverse group of individuals. Versatility, flexibility, and willingness to work within constantly changing priorities. Other Requirements: Appropriate availability consistent with organization established practices and norms; hours not to exceed 40 hours per week without prior supervisor authorization.

Ability to work at Festival of Nations (last full weekend in August) Ability to pass a standard background check. Environment This position requires the ability to work in a stationary position for several hours at a time and the ability to move up to 25 pounds, occasionally. The work environment is an air-conditioned, smoke-free, office environment.

This position routinely uses standard office equipment such as computers and photocopiers. This position occasionally may require regional travel; no overnight travel is anticipated.
