JOB SUMMARY
The Industrial Maintenance Project Coordinator performs professional planning, analysis, and coordination activities supporting maintenance, production, equipment projects, shutdowns, and related operational work. The position evaluates priorities, resources, work readiness, materials, contractors, and schedule dependencies to develop and maintain effective plans.
Working under general direction, the role exercises independent judgment in resolving planning and coordination issues, evaluating alternatives, and recommending actions within established business objectives. The position works cross-functionally with key stakeholders and identifies opportunities to improve planning processes, systems, and workflows.
DUTIES AND RESPONSIBILITIES
Analyze maintenance, production, and project requirements, including priorities, resources, materials, equipment readiness, contractor needs, and schedule dependencies, to develop and adjust maintenance, shutdown, project, and operational plans. Evaluate scheduling conflicts, resource constraints, work-readiness issues, and execution risks; assess alternatives and recommend changes to sequencing, timing, resources, or execution plans.
Lead cross-functional planning and coordination with Maintenance, Operations, Engineering, Quality, EHS, Purchasing, Warehouse, contractors, vendors, and other stakeholders. Assess work readiness, identify gaps, and coordinate resolution of issues involving materials, equipment, contractors, permits, access, documentation, and other execution requirements.
Coordinate contractor and vendor activities, including scheduling, site access, job walks, documentation, progress tracking, issue resolution, and completion requirements. Maintain and analyze planning and work-management information in CMMS, ERP/MRP, scheduling, and project-management systems to support accurate execution and decision-making.
Develop schedules, dashboards, readiness trackers, performance measures, and other planning reports; analyze trends, risks, constraints, and performance gaps and provide recommendations to leadership. Recommend and support improvements to maintenance planning, scheduling, CMMS practices, contractor coordination, documentation, systems, and workflows.
Support maintenance and project activities in accordance with GMP, safety, quality, Engineering, and EHS requirements, including interpretation of applicable technical drawings and documentation. Exercise independent judgment in resolving planning, scheduling, resource, coordination, and work-readiness matters within established business objectives; escalate matters outside assigned authority.
Provide planning support and recommendations to Maintenance leadership regarding priorities, schedules, resource utilization, execution risks, and corrective actions Adhere to all company SHE policies and procedures, participate in hazard identification and environmental risk reduction activities, utilize required PPE, and perform other duties or support department initiatives as assigned.
EDUCATION AND EXPERIENCE
2 years of relevant experience in Maintenance, Engineering, Manufacturing Operations, project coordination or management, inventory control, work order, vendor management, and cGMP. Bachelor’s degree in Supply Chain, Operations Management, Engineering, Business, or a related field preferred. Experience coordinating cross-functional activities involving schedules, materials, equipment, contractors, resources, and competing priorities.
Experience evaluating planning, scheduling, work-readiness, and operational issues and recommending practical solutions. Experience with maintenance planning, equipment installations, shutdowns, or manufacturing projects preferred. Experience with CMMS and maintenance or project documentation preferred. Experience in pharmaceutical, chemical, biotechnology, or other regulated manufacturing environments, including cGMP, preferred.
COMPETENCIES/SKILLS Strong written, verbal, interpersonal, and cross-functional communication skills. Strong analytical, organizational, planning, and time-management skills with the ability to manage changing priorities. Ability to work independently under general direction and exercise discretion and judgment within established guidelines.
Ability to analyze operational issues, identify risks and trends, evaluate alternatives, and recommend practical solutions. Ability to coordinate effectively across departments, contractors, vendors, and other stakeholders. Ability to assess scheduling, material, resource, work-readiness, and operational issues and recommend appropriate actions.
Ability to read and interpret technical drawings, specifications, and related documentation, including P&IDs, electrical one-lines, hydraulic drawings, and HVAC drawings. Working knowledge of maintenance work-management, project coordination, CMMS, scheduling, and work-order processes. Proficiency with Microsoft Office and other applicable business systems.
Working knowledge of GMP, safety, quality, documentation, and equipment/personnel safety requirements in a regulated manufacturing environment. Ability to identify process-improvement opportunities and recommend improvements to planning, coordination, and execution. CERTIFICATION/LICENSES Not applicable
