The Billing Specialist position reports to the Senior Accountant and is responsible for providing accounting support across company operations. PRINCIPAL DUTIES & RESPONSIBILITIES Your responsibilities may include, but will not be limited to the following: Build strong relationships and serve as a trusted advisor to Project Managers through the life cycle of the project from notice of award to final closeout Set up and maintain projects in Deltek Ajera in accordance with contract requirements; read and interpret contracts for accounting and invoicing implications Generate 125 - 175 invoices per month Prepare and distribute monthly billing reports to Project Managers; process labor and expense transfers as necessary; ensure labor and expenses posted to project comply with the contract Ensure that accurate and complete invoice packages are submitted to the client in a timely manner including all applicable back-up required by the client Respond to internal and external clients promptly in a confident and professional manner; investigate issues, problem-solve and communicate resolution clearly and articulately Follow-up with clients to confirm receipt of invoices and regarding payment status of open invoices as needed; partner with Project Manager to resolve collection issues Monitor project Work-in-Progress (WIP) and review monthly aged WIP report with Project Manager; collaborate with Project Manager to resolve issues around aged WIP Other duties as required QUALIFICATIONS & REQUIREMENTS Education Bachelor’s degree in Accounting and/or Finance Knowledge, Skills & Abilities Minimum of two (2) years of billing experience for consulting business Proficiency in MS Suite (Outlook, Teams, Excel [pivot tables], Word, PowerPoint, etc.)
Experience with Deltek Ajera and Deltek Vantagepoint preferred Competencies Must have effective communication skills both oral and written Must have a strong attention to detail and ability to follow through Must be a self-starter and prioritize workload Must have ability to multi-task, stay organized, work independently, and collaborate with various project teams Must have a strong desire to grow personally as well as professionally Must have a great attitude and eager to learn Must have a current valid driver’s license PHYSICAL DEMANDS & WORK ENVIRONMENT Must be able to work in a fast-paced environment with high-volume workload and frequent short deadlines Must be able to lift up to 25 lbs Must be able to work 10-hour days Must be able to work remaining in a stationary position, often standing or sitting for prolonged periods Must be able to communicate with others to exchange information Must be able to assess the accuracy, neatness and thoroughness of the work assigned TRAVEL REQUIREMENTS
- Must be able to travel occasionally, possibly overnight for customer meetings and site visits 1 to 2 times per year.
