Clinical Supervisor (Peds/Women's Health)

Title: Clinical Supervisor I Department: Clinical Status: Non – Exempt Position Classification/Category: Clinical Level: N/A Location: Assigned Clinic Hourly Pay Range: Reports To: County Nurse Manager/Director of Clinical Services Direct Reports To: Lead Medical Assistant and Medical Assistants I-III Summary of Position Under the supervision of the County Nurse Manager (CNM)/Director of Clinical Services (DOCS), the Clinical Supervisor I will assist with the triage of patients on-site and via telephone utilizing approved protocols or standing orders.
The Clinical Supervisor I helps to facilitate patient care and clinic flow in the clinical environment. The Clinical Supervisor may be involved in both the clinical and administrative areas. The Clinical Supervisor I will document provider orders, clinical actions, and interventions in the electronic health record. S/He communicates directly with the CNM for direction and information for clinical flow and procedures.
Minimum Qualifications
Must be able to communicate in English accurately and concisely both verbally and in writing. Must be able to interact in a professional and patient – centered manner with patients. Must be able to work cooperatively with internal staff to deliver safe, effective, and quality care to all patients. Must be able to plan, prioritize and complete assigned task with a high level of accuracy.
Must be able to work under time constraints while maintaining accurate records within vaccination records, EHR and new employee training documentation.
- Experience: Two years of experience as a Medical Assistant in CRCHC or at least 4 years of outside progressive experience as a medical assistant with mainly a clinical focus required, with at least one to two years’ experience as a Lead Medical Assistant/Management preferred.
- Additional skills required: Competent knowledge of EHR System, completion of all training for vaccination protocols, enhanced organizational and documentation skills. Ability to precept new employees.
- Excellent interpersonal skills and critical thinking.
- Excellent phlebotomy skills.
- Ability to communicate effectively both written and verbally
- Ability to lead a team and motivate teammates.
- Ability to generate and type administrative reports.
- Ability to care for all patient populations with skill and compassion including pediatrics.
- Additional skills preferred but not necessary: Bilingual (Spanish), Pediatrics and Women’s Health Experience (Strongly Preferred) Education: High School diploma or GED and graduated from an accredited Medical Assistance Program Certification(s)/Licensure : Current Medical Assistance Certification, CPR and BLS required. Prefer certification in additional skills area i.e., Phlebotomy, EKG, etc. Physical Requirements The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. Continuous walking, standing, and moving around. Frequently bends, kneels, and crouches. Frequently lifts, pushes, or otherwise moves and positions patients or other objects exerting up to 50 lbs. Repetitive movement of hands and fingers – typing and/or writing.
- The ability to talk, hear and smell.
- Possible exposure to hazardous fumes, airborne particles, toxic/caustic chemicals, body fluids, etc.
Key Responsibilities
Assists with the triage of patients on-site and via telephone for appropriateness and timeliness of care per approved triage protocols and standing orders and accurately documents in log and electronic health record. Perform clinical skills such as sterile dressings, EKGs, pulmonary treatments and the safe and accurate administration of medications and immunizations.
Assists medical providers with routine clinic tasks, examinations, and treatments. Maintains vaccines, medications, medical supplies, PPE Inventory/log, and medication inventory. Participates in daily huddle calls with other clinical supervisors and leads. Serves as Vaccine Champion and ensures compliance with vaccine storage, handling, documentation, and administration requirements.
Ability to train staff on pediatric/adult vaccines. Drafts, coordinates, and performs daily clinic wide “Huddles” to promote communication, patient flow, and operational efficiency. Designates a performer in the absence of the CS while also ensuring uploading and compliance. Assigns daily work responsibilities to Medical Assistants and monitors workflow throughout the clinic day.
Assists with the onboarding, orientation, and education of new clinical staff. Participates in interviews and hiring of clinical staff as assigned by CNM, Senior Admin/Directors, and/or HR. Provides coaching and guidance to Medical Assistant staff regarding workflow, documentation, and clinical procedures. Follows all established Infection Control guidelines and OSHA standards.
Maintain accurate documentation in the patient’s EHR based on established documentation procedures. Assist with telephone follow up with patients as directed by the provider or CNM and/or DOCS. Under the direction of the provider and/or DOCS, assists with patient health education and follow up on established patient plan(s) of care.
Evaluates performance of Medical Assistant staff and provides guidance. Maintains Clinical Supervisor and outside provider voicemail and responds to patient’s questions/doctor’s office requests in a timely manner. Maintain safe, secure, and healthy work environment by following and enforcing established policies and procedures and the ability to professionally encourage other to do the same to support a healthy team atmosphere.
Works with operation team and Site Manager to ensure clinical issues communicated and resolved with weekly 1-on-1 meetings. Also formulates workflows and ideas for improvement in clinic flow and operational and QI goals. Participates in mandatory in-services and drills, attends staff meetings and other training, including appropriate age specific educational training offered on regular basis for professional development.
Demonstrates the ability to effectively organize and prioritize work and utilize available resources to assist with the efficient flow in the clinic. Participation/involvement in Quality Improvement activities. Reviews incident reports and assists with corrective action planning as appropriate. Performs and tracks Emergency procedures and drills for the clinic site in conjunction with the Site Manager.
Thes include but are not limited to Code Blue, Code Red, Code Black, and Severe weather EOP. 26. Assists CNM in providing coverage to all clinical CRCHC sites and can travel among sites to assist in this task. Assists the CNM in supervision of other clinical MAs and acts as a first point of contact for the clinic in the absence of the supervisors Performs administrative and clerical tasks such as Monthly Clinical Report, quality control logs, clinical gap analysis and Power. Points, Abnormal PAP smear reporting, etc. in a timely manner. Capable of presenting reports in a professional manner to supervisors and other administrative staff. Performs all other duties as assigned.
