Experienced Patient Care Coordinator for Med Spa

Description The Spa Clinic Part-Time Patient Coordinator – Medical Spa Location: Gainesville & Warrenton, VA Schedule: Part-Time (20–25 hrs/week) Start Date: Immediately The Spa Clinic is looking for an experienced patient care coordinator with sales experience and organizational experience.

Key Responsibilities

• Greet and check-in patients, creating a welcoming and high-end experience
• Answer phone calls, return voicemails, and respond to patient inquiries
• Schedule appointments and manage daily provider schedules
• Educate patients about services, membership options, and skincare products
• Support patient consultation flow and treatment coordination
• Handle payments, invoices, and follow-up communication
• Maintain cleanliness and organization of front desk and lobby
• Work closely with providers and clinical team to ensure seamless patient care What We’re Looking For
• Prior experience in a medical spa, luxury hospitality, or medical office preferred
• Previous sales experience preferred, especially in aesthetics, wellness, or luxury service industries
• Comfortable working with sales goals, memberships, and commission-based incentive structures
• Professional, friendly, and polished communication and presentation
• Strong organizational skills and ability to multitask smoothly
• Comfort engaging with patients and discussing aesthetic services
• High level of discretion and professionalism with patient information
• Tech-savvy and willing to learn our scheduling/EMR systems
